The role is offered on a temporary basis for 3 months with the potential for permanent placement. The selected candidate will be expected to be present on-site daily, playing a vital role in ensuring the smooth operation of the office.

The selected candidate will be expected to be present on-site daily, playing a vital role in ensuring the smooth operation of the office.

Description

  • Managing meeting schedules and organizing business travel arrangements
  • Overseeing daily management of mail and courier services
  • Ensuring efficient oversight and operation of office infrastructure
  • Reception duties, including answering the main telephone line throughout office hours
  • Processing payments to company suppliers and partners
  • Maintaining the petty cash register, including monthly preparation of accounting documents
  • Managing the procurement of materials such as office supplies, beverages, and cleaning supplies
  • Coordinating with external service providers, such as cleaning companies, copier service providers, IT service providers, and building maintenance personnel
  • Planning team absences and vacations
  • Monitoring access badge control

Profile

  • Commercial degree or equivalent degree
  • Experienced in client interactions via phone, email, and in-person visits
  • Excellent oral and written communication skills in both German and English
  • Proficient in Microsoft Office tools (Excel, PowerPoint, Word, etc.)
  • Adaptable, sociable, and comfortable working in a small-team setting
  • Efficient time management skills and able to prioritize tasks effectively
