We are looking for a young, resilient and enthusiastic person to manage our soon-to-be-opened office in Baar, Zug. This is an exciting and demanding role that requires highest level of professionalism with a flexible approach to deal with various tasks and people as well as to organize office management from the ground up. In this role you provide administrational support to the Swiss management team and ensure the smooth running and availability of our offices to the Swiss employees and visitors of an international IT outsourcing and consulting company. You are part of a team who are based in Zurich. You'll be given a lot of freedom how to organize yourself and get things done.
Cognizant has office space for approximately 100 people in Baar at present. The offices houses project delivery teams, corporate administration and management who use the same offices and desks daily and provide "hot-desk" facilities to a wider group of consultants and technical IT staff that are generally based at client premises. 
 
Responsibilities

  • Office receptionist and switchboard operator. First point of contact in the office

  • Orders and maintains supplies such as groceries, fruits, refreshments, and stationary

  • Ensures a clean and tidy office, in particular the canteen area and the repro area but also the meeting rooms

  • Liaise with all level of Management to schedule meetings (internal and external)

  • Booking of airport transfers, hotel accommodation and arrange meetings for VIPs visiting Baar and newly transferred employees from India and other countries

  • Responsible for mailings, distribute to correct addressees

  • Manage office space, equipment and bookings of meeting rooms

  • Covering contracts, filing and archiving

  • Support the admin team on relocation, immigration and with accounts payable
Skills & Experiences

  • Successfully completed commercial apprenticeship or similar educational background

  • Hands-on person with outstanding organizational skills and high attention to detail

  • Excellent interpersonal and communication skills (fluent in English and German, both written and spoken)

  • Ability to think outside the box and look at new ways of doing things

  • Can do attitude and ability to thrive in a busy atmosphere

  • Team player who is able to work with a remote team

  • Ability to work independently, under pressure and prioritize tasks

  • Previous experience in office management in a similar environment
