ADMINISTRATIVE COORDINATOR - HQ

We are currently looking for an Administrative Coordinator to join our Joint Company Vifor Fresenius Medical Care Renal Pharma (VFMCRP). In this position, you will be responsible to provide administrative, organizational and coordinative support to the Head of Global Strategic Marketing and the marketing team. Your tasks and responsibilities will include, but not limited to:

  • Support Head of Global Strategic Marketing and members of the marketing team in Zurich in all administrative tasks 
  • Liaise with internal and external customers 
  • Make travel arrangements and prepare meeting schedule arrangements 
  • Coordinate local and international meetings; including logistics, catering and equipment needs, visitor accommodations 
  • Prepare agendas, take and complete meeting minutes; coordinate distribution and follows up on action items 
  • Independently respond to routine correspondence 
  • Maintain distribution and personnel lists 
  • Coordinate financial processes such as invoicing, payments, expense reports to ensure timely processing 
  • Maintain the budget
  • Maintain familiarity and knowledge of relevant company processes and procedures 
  • Close collaboration with other (Vifor Pharma) PA's and Assistants to arrange meetings and functions as holiday back ups 
  • May provide training, guidance and orientation to new team members
  • Congress and Event Management of assigned events

The successful candidate has completed a higher education in Business Administration. Additionally you bring the following knowledge and experience:

  • Minimum 3 to 5 years related experience in administrative support role, ideally 1-2 years' experience in a senior administrative support role e.g. Management assistant 
  • Excellent experience of MS Office tools (Word, Excel, PowerPoint, Outlook) 
  • Fluency in English, German or a further language is a plus
  • Experience in an international pharmaceutical/medical devices company is preferred.

You take a proactive approach to identifying service support, information flow and process, ensuring to resolve issues appropriately and in a timely manner. You are trust-worthy and discreet regarding confidential matters and take a loyal and committed approach to your work. You work effectively with a wide variety of personnel at different levels in the company, with a willingness to learn new approaches and the ability to adapt to change. You show flexibility regarding working hours and lead by example, promoting team work.
