On behalf of our client, a globally respected multinational organization and prominent player in its field, we seek an experienced executive assistant (EA) with proven business acumen and a track record of supporting top executives in a multinational setting. The successful candidate must navigate complex situations effortlessly, demonstrate a solution-oriented approach, and respond appropriately to subtle cues. This role is based in the Canton of Basel, Switzerland, and the jobholder will be working mainly on-site. 

To avoid any unnecessary disappointment, this role is for a senior executive assistant, and it's crucial to ensure that you meet all the entry requirements before applying. Unfortunately, we won't be able to consider candidates who don't meet these criteria.

Role Overview

In this pivotal role, the appointee will deliver senior-level one-on-one support, handle day-to-day administrative tasks, and optimize the CEO’s efficiency by streamlining daily operations. An ambitious and entrepreneurial spirit and an unwavering hands-on approach will be crucial to success in this dynamic role. Anticipatory skills are vital, with the expectation of intuitively addressing routine requirements without explicit instructions. Additionally, the position necessitates a strong sense of autonomy, meticulous organizational skills, and the ability to efficiently schedule and follow up on critical matters. The EA will recognize and embody the professionalism required for a visibly impactful position. 

Primary Responsibilities (included but not limited to)

  • Managing a complex calendar, prioritizing appointments aligned with business needs, coordinating travel arrangements, on- and off-site meetings, conference calls, and management conferences, including associated logistics.
  • Managing emails, correspondence, and calls on behalf of the CEO.
  • Keeping the CEO well-informed about upcoming commitments, addressing concerns, and navigating conflicting priorities by determining appropriate courses of action.
  • Serving as the CEO’s administrative liaison between the CEO, BoD, and other key stakeholders, fostering smooth communication and collaboration between the CEO’s office and internal departments.
  • Facilitating committee and direct report meetings, including agenda compilation and follow-up on action items.
  • Collaborating with the Leadership Team to streamline reporting processes, ensuring adherence to all deadlines.
  • Producing presentation materials and compiling documents,
  • Maintaining organized files, ensuring timely and confidential access to documents.
  • Coordinating executive outreach and external relations and liaising with fellow executive assistants.
  • Contributing to the business in a helpful and professional manner while being willing to tackle tasks of any size.
 
Role Requirements
 
The position demands superior professionalism to oversee and coordinate diverse tasks. The ideal candidate embodies proactiveness, credibility, and trustworthiness, coupled with a diplomatic approach and a profound “get things done” attitude. Likewise, adaptability to handling competing demands is crucial, requiring sound judgment to maintain a realistic balance among multiple priorities—a harmonious blend of focus and flexibility and a willingness to actively contribute to the company’s success. 

Essential Requirements

  • High school diploma, commercial apprenticeship, further education, and/or a bachelor’s degree in business administration
  • Applicants' professional background must reflect a minimum of 10+ years experience as an Executive Assistant to a CEO or CFO within a globally listed corporate organization.
  • Fluency in business English at either native or C2 level is essential, and candidates possessing the same proficiency in German will be given preference.
  • Mastery of the MS Office Suite and competency in contemporary office IT systems and business tools (Zoom, Teams, SharePoint), demonstrating a keen understanding of technology to optimize workflow efficiency.
  • Given the extensive global network, clear, precise communication skills with the ability to seamlessly liaise with diverse audiences of various backgrounds and cultures across different organizational levels.
  • Exceptional organizational skills; ability to perform and prioritize multiple tasks with attention to detail.
  • Emotional maturity and strong interpersonal skills—you radiate positivity and willingness to go the extra mile.
  • You will be the CEO’s person of trust; hence, uncompromising reliability and confidentiality are a must.
  • Ability to handle problems calmly as they arise, coupled with robust decision-making capabilities—you take ownership of actions and deliverables with excellent follow-through skills.
  • You are a highly resourceful team player with a forward-looking mindset, actively seeking opportunities and proposing solutions.
  • The role requires flexibility in work hours and a commitment to on-site representation of the office. While occasional remote work is possible, the primary expectation is to operate from the office, serving as the go-to person.
