Your mission:
Provide administrative services to the Company. Be a support to your colleagues at the Administration Department 

Your responsibilities:

*    Ensure that quality documents and records are maintained and archived in accordance with the internal documentation policies and procedures
*    Provide support to technical functions and Directors
*    Enhance communication model within the functions
*    Provide assistance during event preparation

Main tasks:

Administration

*    TNT Shipments & Repatriations and problems resolution (address, billing, custom clearance)
*    Monthly staff meeting organization and all other internal & external meeting organization if requested
*    Conference Rooms preparation-fully equipped permanently (paper for flipchart, whiteboard markers, chairs etc.)
*    Diverse administrative management and support to colleagues:
-    Daily e-mails correspondence in both English & French with suppliers, clients and colleagues
-    Answering all external call (Switchboard) and forwarding
-    Update the company phone directory, email distribution list in MS Outlook
-    Letters and parcels - receipt/pick up and dispatching
-    Visitors information gathering, visitor's greetings, visitor's registration
-    Resolution of problems incurred with printers and other devices (with support of IT dept.)
-    IT equipment database update
*    General orders:
-    Economa Office supplies orders and maintenance 
-    Cafeteria check and orders (drinks, coffee, sugar, cream etc - coffee machine cleaning & maintenance)
-    Printers consumables order with Xerox
-    Lunches order for all types of meetings; restaurant, hotel and Taxi reservation

Finance:

*    PO creation for Admin/finance, IT & General (facilities)
*    Entry sheet maintenance : IT, General Facilities, Office/cafeteria materials, UVET, meals orders
*    Monthly exchange rate notification to all employees

Your Profile:
*    Commercial diploma, education in documentation control and/or in a technical environment
*    Ideally 1 to 3 years work experience in a similar position
*    Fluent English
*    Knowledge of SAP is an advantage
*    Knowledge in accounting is an advantage
*    Very good knowledge of MS Office (Word, Excel, Outlook, Power Point)
