Associate Specialist, HRIS - GL C

The Associate Specialist, HRIS supports the Manager, HR Operational Services and the Lead, HR Operational Excellence. They primarily own responsibility and oversight for the implementation, support and maintenance of the Global Fund Human Resource Information Management Systems and technologies used by the HR function.

They have overall responsibility for:

• Acting as the main technical point of contact for information systems supporting HR operations and planning, providing analytical support, communication and / or trainings where required to ensure end user adoption
• Ensuring data integrity, driving and managing testing of the systems changes and updates
• Proactively documenting process improvement opportunities
• Implementing other technical projects, as requested

Key Responsibilities

Reporting to the Lead, HR Operational Excellence, the Associate Specialist, HRIS' primary responsibilities will be as follows:

  • Support day-to-day HRIS operational requests
  • Participate in the design and implementation of new HRIS modules and other system enhancements
  • Collaborate with the Associate specialist, HR Reporting, to develop, maintain and support a variety of regular and ad-hoc reports requests
  • Support, configuration, and maintenance of the HRIS system as a subject matter expert
  • Monitor integrity of the HR systems’ data, transactions and integrations of HR systems by running routine queries
  • Promote proactive approaches using the HRIS to solve business demands and concerns
  • Collaborate with HR end-users to define, establish and maintain up to date HRIS functional departmental documentation, such as standard operating procedures, process documentation, documents for communications and change
  • Provide functional and technical expertise to assist and support end-users
  • Assist in the development of digital training materials and in the training of HR staff on HRIS access and utilization of the system
  • Monitor and track service levels with external suppliers for continuous improvement of services
  • Lead Workday biannual system upgrades, in coordination with HR Specialists and IT
  • Monitors HRIS integrations, addressing issues within the Service Level Agreement (SLA) period
  • Undertake any other duties as directed by the Lead, HR Operational Excellence, the Manager, HR Operational Services, and/or the CHRO.

Qualifications

Essential:

  • Bachelor’s degree in information systems, computer science, quantitative systems, a related degree with some specialization in computer related experience and/or equivalent work experience.
  • Project Management Certification or relevant work experience
  • Workday Training Certification or an equivalent and relevant work experience

Desirable:

  • ERP Training in other systems Peoplesoft, SAP, Oracle
  • Training on Digital Adoption tools, such as Walkme.

Experience

Essential:

  • Previous experience in a professional office environment.
  • Experience as an analyst/administrator/technician; information systems analyst/technician; or other positions with appropriate experience and/or education
  • Experience in HR and/or payroll department

Desirable:

  • 2 – 3 years experience
  • Project implementation experience
  • Experience using ServiceNow

An excellent knowledge of English and preferably a good working knowledge of French. Knowledge of other languages would be an asset.
