At MCI Benelux, the Exibition Manager works closely with the PCO Project Director and Projects Managers and other Event Coordinators.

The Exhibitor Manager responsibilities include the following but are not limited to:

Leadership & Relationship Management

  • Exhibition and Sponsorship Management
  • Responsible for the planning and organisation of on-site and online exhibitions from A to Z for different clients
  • Delivering an exceptional support and assistance to exhibitors and sponsors, while also providing support to the team when necessary
  • Liaise directly with the client regarding exhibitions and reporting under the supervision of the PCO Project Director or Projects Manager
  • In charge of establishing good relationships with our internal and external shareholders
  • Sponsors activation by implementing and delivering the services booked and ordered by sponsors.
  • Responsible for ensuring that everyone carries out the proper health and safety procedures at all times.
  • Build a strong relationship with internal and external client, suppliers and partners with regular reporting and communication to monitor satisfaction and constantly improve services
  • Exhibition and Sponsors Communication & Marketing
  • Definition and Design of floorplans, creation of sponsors and exhibition packages based on clients’ needs and expectations towards budget objectives &/or market
  • Support sales to generates revenues linked to exhibitions or special partners & sponsors
  • Optimise the use of available tools (Exhibition Management Software, booking tool, exhibition registration tool ..) and potentially source alternatives
  • Coordinate the promotion of the exhibition working closely with our Marketing Team or with the client depending on mandate
  • Be the key contact for any exhibition questions related and become the expert of newsletters dedicated to the exhibitors and sponsors.
  • Play crucial role in resolving technical issues prior, during and after the event
  • Coordinate registration process & communication of exhibitors and sponsors in collaboration with MCI Customer Care Department.
  • Logistics
  • Development of manuals and guidelines for exhibitors and sponsors, verification of local regulations and security restrictions, organise, deliver and measure against project timelines based on priorities, resource availability, and other project requirements (i.e., budget, event management tools, online interactive floor plan etc.)
  • Responsible for managing the exhibition space, negotiating with suppliers and ensuring the follow-up regarding all invoicing processes (invoice in/out, payment follow up, cash flow, etc.)
  • Source project-related third-party suppliers appropriately and effectively, in line with MCI’s Procurement guidelines and MCI’s Sustainable Policy
  • Organise the logistics on behalf of the client, ensuring that all the necessary ordered equipment (i.e. roll-ups, furniture, etc.) is properly delivered.
  • Oversee the onsite build up and dismantling of the exhibition, making amends where necessary.
  • Support when needed for other aspect of the logistics of the events and congresses.
  • Co-managing the web shop for exhibitors with local supplier

IT Tools & Knowledge

  • Effectively use all job-related tools and systems, computer hardware/software
  • Understand virtual event platforms, web conferences and live streams and use them for delivering virtual events with virtual exhibition booths
  • Understand GDPR, vet suppliers and ensure to establish the right Data Protection Agreement required
  • Understand the EMAS principles and act as an EMAS Ambassador (training provided)

Financial Management

  • Respect set budget frame and defined deadlines
  • Manage the day-to-day financial controlling of the exhibition operations

  • You use on a daily basis your multi-tasking abilities and in case of last-minute issues, you will act fast, proactively and towards problem-solving solutions.
  • You advocate a high level of service attitude and professionalism, ensure operational excellence and be 'Quality Obsessive', including Industry knowledge and understanding
  • Delivering on time, within budget and surpassing expectations - that's your trademark
  • You are elgible to work in EU and fluent in English (verbal and written level C1); any additional European language is a plus,
  • You have 3 to 5 years of relevant experience as an event/exhibition manager (both on a strategic and operational level), or within a relevant Sales or Marketing role with a focus on events.
