As an Administrative Business Partner, you provide analytical and specialized administrative support to relieve and assist executive, administrative, line and staff managers of complex details and advanced administrative duties.

Your key responsibilities:

Be the go-to person for the Domain Lead, providing effective support with all administrative tasks: calendar management, travel arrangements, collect/prepare information for meetings of executive staff/outside individuals, presentation preparation, supporting key domain activities

  • Lead the planning, scheduling and execution of different type of meetings (complex events, offsites, interviews, stakeholder meetups) in multiple time zones, for various levels of internal and external stakeholders, often with high confidentiality

  • Serve as the go to person for Business Operations. This may include Financial Management processes (POs, invoices, accruals), Onboarding/Offboarding activities, Relationship Management, Learning Management Support and Department organization (distribution lists, etc)

  • Liaise and build relationships across the Informatics team and work closely with Chief of Staff and Engagement lead to provide effective support to the domain lead and his team

  • Maintain relationships and information-flow with the global administration management team and provide assistance and back-up to other team members.

  • Foster a positive and collaborative work environment, ensuring effective teamwork

  • Skillfully manage the expectations and needs of internal and external stakeholders, including managing dynamic time schedules, ensuring a smooth flow of meetings and travel

Who you are

You bring several years related administrative, operations or project support experience (experience gained in the pharmaceutical/biotechnology industry is preferred). You have a collaborative mindset, support team development, seek all relevant or useful information for the team, willing to contribute and assist others in the debt as needs arise. You have the ability to handle and exercise judgment and discretion concerning sensitive, confidential and proprietary information with guidance as required. In addition, you:

  • Demonstrate accuracy and attention to detail of own and other's work, along with good planning skills and ability to self-organize/set up priorities

  • Confident operating within a well defined job scope and a shared decision making process

  • Ability to prioritize and manage multiple tasks in a fast-paced environment.

  • Adept at working with diverse teams and senior leaders.

  • Knowledge of the cSuite (including gMail, gCal, gMeet, gSheets, gSlides, Trello etc.)
