Legal Assistant

Permanent part-time contract, 50% to 60% starting in May

You are an excellent communicator with a self-motivated mindset taking initiative to continuously improve processes; you have a sense of curiosity and willingness to take on new tasks and develop new skills; you have the ability to work independently and in a team in a multicultural, multi brands and multi jurisdictions environment, with the ability to maintain confidentiality and liaise with senior management; you have interest and skills for project management; you are fluent in English with excellent French level as working languages (written and spoken) (knowledge of Spanish as a plus); you have strong organizational skills and record keeping capabilities with attention to details, you are proficient in MS 365 Office applications, Teams and Sharepoint. You have a good understanding of corporate legal structures and legal language or a strong willingness and interest to learn, you hold a CFC Employé de Commerce or equivalent (a CAS in paralegal is a real plus) and have 3 to 5 years experience working in a legal sector, in a law firm or in-house setting as administrative support with knowledge of legal/corporate secretarial functions.

As Legal Assistant, your main missions will be:

  • Company secretarial support: support the day-to-day administration of the entities worldwide; prepare and proofread standard corporate documentation; coordinate approvals, signatures, notarization apostille, translations and legalization of documents; help with the corporate governance processes
  • Contract support: prepare, review and proofread NDAs and standard templates with no or minimal supervision; support the legal team with the preparation of draft versions of more complex legal documentation; manage signing process (DocuSign or wet-ink signatures as per internal policies)
  • Contract Management: take a proactive role in the implementation and setting of the new contract management tool; maintain and administer such contract management system; monitor life span of contracts and proactively advise teams on up-coming deadlines
  • Compliance: support the standards due diligence process
  • Maintain teams folders, SharePoint sites and other files of the department; assist the legal team on communication activities; provide legal inductions for new joiners; provide administrative support with management of invoices, purchase order and expense reconciliation and support the Group General Counsel with ad-hoc projects and tasks as needed
