Executive Assistant to Senior Management

Role & Responsibilities

• Assist the 3 Executives: CEO, CFO & CTIO;
• Organize any travels for the Excom, the engineers, and the employees who don't have a corporate credit card, including hotels, rental car, transfers, visas;
• Gather travel Expenses of the 3 Executives, and other senior managers;
• Organize the Board of Directors & Shareholders meetings, including reservation of a meeting room, the installation of the room, the translators and the food;
• Prepare Board of Directors meetings meeting minutes;
• Maintain external data rooms;
• Organize some fairs with the Marketing Manager, including the reservation of the hotels for each fair;
• Write correspondence: letters, memos and emails, prepare presentations in French, in English and sometimes in German;
• Maintain up to date agendas, schedule and record appointments, organize work meetings, seminars;
• Arrange business trips for Board Directors members;
• Translate Press Releases in French and German – post them on EQS platform and on our website;
• Audit employees’s travel expenses, and report errors to the bookkeeping;
• Manage other daily matters for CEO.

Skills & Experience

• Holder of a commercial CFC
• Certificate of Executive Assistant
• Minimum 5-year(s) experience in a similar position
• Experience working in an international environment is strongly desired
