Role Overview
We are seeking an energetic, proactive, and highly reliable Executive Assistant to become a key partner to a member of our Executive Committee (ExCo), specifically supporting the Head of Region Central and East Europe. This role is essential for optimizing the leader's daily operations, ensuring priorities are met, and facilitating smooth communication and coordination across a fast-paced, multinational environment. You will serve as the organizational backbone, enabling the ExCo Member to focus on strategic priorities and drive sustainable progress for the business.
Key Responsibilities

Manage and optimize the business diary by resolving calendar conflicts, making judgments to prioritize, and orchestrating activities to ensure all critical meetings are met.

Handle high-volume daily communication (primarily in English and German) including prioritizing inquiries, managing emails and calls, and ensuring effective follow-up.

Coordinate complex travel and meeting logistics, including organizing internal/external meetings, conference calls, and business trips, managing all necessary arrangements (e.g., visas, bookings).

Manage office financial administration, including handling vendor invoices, creating purchase orders, allocating costs, and processing expense reports using SAP.

Provide comprehensive administrative support by maintaining working manuals, updating documents and intranet sites, and assisting with the administrative onboarding of new employees.

Anticipate and manage sensitive matters by handling the ExCo Member's personal tasks and dealing with confidential information with the utmost discretion and reliability.
Required Skills & Qualifications

Minimum of 5 years of previous experience supporting Executive Committee members or senior leaders in a multinational, fast-paced corporate setting.

Administrative education or a similar formal qualification is required.

Experienced user of digital tools and systems, particularly skilled in using Google-Suite applications, SAP, and video conferencing platforms.

Highly reliable and accurate with a high level of confidentiality. Must be resilient, flexible, effective at time management, and able to cope with ambiguity in a demanding environment.

Fluent Germanand English speaker. Additional language skills are an advantage.
