You will be supporting 2-3 executives and handle all administrative and organizational matters of the day-to-day operations. The candidate will be working closely with the CEO's assistant and assist her as needed.
Description
- Handling all general administrative and organizational tasks including highly complex travel organization via the TravelPerk tool
- Expense tracking using existing tools
- Appointment scheduling and active management of multiple calendars
- Organization of multi-day management meetings
- Support and coordination of internal projects in various areas
- Support and acting as a deputy for the CEO's assistant
- Coordination of on-site meetings, internal events, etc.
- Drafting and editing letters, emails, and documents and ensuring follow-up
- Welcoming and checking in clients and other guests at meetings and events
Profile
- Organizational talent and the ability to seamlessly handle multiple tasks and set priorities with great attention to detail
- Experience supporting senior management in an international dynamic environment, including calendar management and travel bookings through relevant tools
- Excellent written and verbal communication skills in both English and German
- Proficient in IT applications (MS Office), experience using E-Signing tools like DocuSign
- Ambitious, flexible, and willing to work extra hours during busy periods
- Demonstration of high ethical standards and the ability to handle all situations and documents confidentially at all times
- Resilience and quick comprehension
- Availability to work in the St. Gallen office three times a week
