Description

  • Welcoming and assisting employees, visitors, candidates, and vendors at the front desk
  • Assisting senior leaders with administrative tasks, including managing documents and sensitive information
  • Handling incoming calls and directing them to the appropriate teams
  • Managing, scanning, and sorting company mail to ensure timely and accurate distribution
  • Monitoring the workplace budget to ensure it aligns with planned expenses
  • Collaborating with teams to create event concepts, prepare budgets, set deadlines, and define objectives
  • Assisting with internal and external events
  • Overseeing on-site vendors and services, such as cleaning, maintenance, and food & beverage
  • Managing office equipment, stationery, and kitchen supplies (non-IT)
  • Keeping necessary items in stock and ensuring they meet health and safety standards

Profile

  • Commercial degree or equivalent studies
  • Experience in office management within a rapidly growing business or similar environment
  • Fluent in both German and English, with strong communication skills in both languages
  • Strong MS Office skills
  • Hands-on approach with excellent organizational skills and attention to detail
  • Proactive and takes ownership of tasks to ensure timely completion
  • A collaborative team player who actively seeks opportunities to support colleagues and isn't afraid to ask for help
