Hours: Part-Time, 25 hours per week (1pm – 6pm Monday to Friday)

Location: Douglas, Isle of Man

The opportunity

We are seeking a friendly and professional Receptionist to join our vibrant team. The primary role of this position is to provide a warm welcome to visitors, manage a high volume of calls through our switchboard, and perform general administrative tasks.

Key responsibilities:

• Responsible for opening and closing the switchboard and reception services as per the designated times.
• Greet and direct callers and visitors with a friendly, professional demeanour and using the company-approved greeting.
• Schedule conference rooms, order supplies and maintain office equipment inventory.
• Handle administrative tasks as required and provide excellent customer service to contribute to a supportive team culture.
• Manage the reception lobby area and ensure completion of necessary paperwork, sign-in and security procedures.
• Supply information to callers, relay messages and announce visitors.
• Assist the Facilities Manager with delivery note processing, invoice processing, and budget tracking.
• Order and procure items associated with facilities and building management.
• Maintain a flexible and co-operative approach to accommodate changing business needs.
• Assist other administrative staff with overflow work, including word processing, data entry, and internet research tasks.
• Take responsibility for the correct use and care of reception and switchboard equipment and assist in control of inventory.
