The International Olympic Committee (IOC) is the guardian of the Olympic Games and the leader of the Olympic Movement. A truly global organisation, it acts as a catalyst for collaboration between all Olympic stakeholders, including athletes, National Olympic Committees (NOCs), International Sports Federations (IFs), Organising Committees for the Olympic Games (OCOGs), Worldwide Olympic Partners, and Media Rights-Holders. As the Corporate Events Trainee you will be providing support to the Corporate Events management team with organising meetings and events in Lausanne.
Main responsibilities:

Coordinates daily business booking requests on behalf of IOC departments for various event-related services, such as meeting rooms, AV, catering, transport, accreditation and accommodation.

With the Corporate Events Manager and client coordinator, follows up allocated event projects including planning, on-site execution and tear-down.

Supports the set-up and follow-up of the arrangements linked to trips, hospitality, accommodation and accreditation for Olympic family members and IOC guests in Lausanne with the various partners concerned (hoteliers, congress centres, marketing companies, sponsors and the local authorities).

Performs everyday administrative tasks: data entry, contracting process, invoice validation, correspondence and filing.

Assists with setting up meeting rooms (managing rooms, seating and technical facilities).

Assists the Corporate Events management team with coordinating meals, receptions and other event-related activities (choice of menus, guest lists, invitations, mail shots and welcome packs).
To be eligible for this role, you need to match the following criteria:

Recent graduate from or training at hotel school or equivalent, and/or experience in the field of international events.

Excellent knowledge of English and French (preferably bilingual). Additional language a plus.

Familiarity with teamwork in terms of managing the flow of files and communicating with colleagues.

Excellent knowledge and command of Word, Excel, PowerPoint, event-related IT solutions, Outlook and the internet.

Ability to manage stressful situations.

Speed and accuracy in executing tasks.

Sense of urgency and priorities, and service-orientation.

Ability to take the initiative and be aware of activities and needs.

Excellent organisational skills.

Good communications skills and good all-rounder.

Flexibility in terms of working hours generally.

Interest in sports events and international news.

Excellent command of the corporate tools and ability to follow the internal user rules (Outlook, etc.).
