Contract Triaging Specialist

The Opportunity

Are you passionate about the intricate details of legal contracts? Do you excel in environments where governance, simplification, efficiency, and frequent optimization are necessary for success? We are looking for someone to join our Enterprise Contracting Center team as Contract Triaging Specialist. The Contract Triaging Specialist helps facilitate the efficient processing of contract requests, drives innovation and optimization of the process by identifying optimization opportunities, ensuring compliance, mitigating risks, and supporting organizational goals through streamlined contract management processes.

The Role

Main Responsibilities:

1.     Triage Contract Requests:

  • Receive incoming contract requests from different sources, including internal departments and external partners.
  • Review contract requests to understand the scope, purpose, and urgency of each request.
  • Classify contract requests based on predefined criteria, such as contract type, complexity, and priority level.

2.     Prioritize and Assign:

  • Prioritize contract requests based on their urgency, importance, and potential impact on business operations.
  • Assign contract requests to the appropriate teams or individuals responsible for contract review, negotiation, and approval.
  • Ensure that high-priority contracts receive prompt attention and escalation as needed.

3.     Coordinate Workflow:

  • Collaborate with cross-functional teams, including legal, procurement, finance, and operations, to facilitate the contract approval process.
  • Communicate with stakeholders to provide updates on the status of contract requests, address inquiries, and resolve issues or delays.
  • Monitor the progress of contract requests and follow up on outstanding tasks to ensure resolution.

4.     Maintain Documentation:

  • Maintain accurate and up-to-date records of contract requests, including relevant information, communications, and actions taken.
  • Ensure that all contract-related documentation is, archived, and accessible for reference and audit purposes.
  • Help develop and maintain standard operating procedures (SOPs) for the contracting triage process.

5.     Continuous Improvement:

  • Identify opportunities to refine and improve the contracting triage process, such as implementing automation tools, optimizing workflows, or enhancing communication protocols.
  • Provide feedback and recommendations for process improvements to enhance efficiency, accuracy, and customer satisfaction.
  • Stay informed about industry best practices, latest trends, and regulatory requirements.
  • Support the Governance and Process Excellence Lead in being the driver for innovation, optimization, automation and simplification of the Enterprise Contracting Center by collaborating with Legal Operations.

Your Skills and Experience

  • Associate's degree.
  • Paralegal certificate may be considered in lieu of degree.
  • Experience in a healthcare environment preferred.
  • Work with stakeholders at all levels.
  • Focus on accuracy...
  • Requires broad knowledge of operational procedures and tools obtained through work experience and may require vocational or technical education.
  • Work solo n for routine situations.
  • May perform as team lead for lower level support employees.
  • Problems typically are not routine and require evaluation to understand.
  • Prior experience in contract or document management, process optimization, project management, or triage services preferred.
  • Familiarity with legal design concepts, contract terminology, and regulatory requirements is a plus.
  • Experience with contracts or similar documents, corporate governance principles, and regulatory compliance requirements a plus.
  • Proficiency in software tools such as contract management software and Microsoft Office Suite.
  • Collaborate with cross-functional teams.
  • Focus on accuracy envisioning the big picture.
