1. Background to this notice
Scientific Visual SA (“Scientific Visual”, “we”, “us”, “our”) is a company registered in Switzerland under company number CHE-115.489.260, with the main office at Chemin du Closel 5, CH-1020 Renens VD, Switzerland.
We are committed to safeguarding the privacy of everyone we interact with, including our customers, suppliers, partners, and visitors to our websites (“websites”) — referred to below as “you” or “your”.
This Privacy Policy sets out how we collect, use, and share personal information through our websites and through the other channels described below. It applies to processing carried out by Scientific Visual SA as data controller.
Where we ask you for personal information, we will tell you at that time if any use requires your consent, and you will be able to opt in or out of those uses.

- (b) Information you provide to us: personal information you give us, for example when requesting a quotation, submitting an enquiry form, registering for restricted areas of our websites, or otherwise interacting with us — including your name, title, position, employer, and contact details.
- (c) Your transactions: details of orders, quotations, contracts, and inspection or service work carried out through our websites or other channels, and of the fulfilment of the services we provide.
- (d) Website and communication usage: details of your visits to the websites and information collected through cookies and similar technologies, including your IP address and domain name, browser version and operating system, traffic data, approximate location, web logs and other communication data, and the resources you access.
- (e) Survey information: we may ask you to complete surveys used for research purposes, in which case we collect the information provided in the completed survey.
2.2 Customers, prospective customers, suppliers, and partners
If you are a customer, prospective customer, supplier, distributor, research partner, or an employee or representative of one of these organisations, we may also process:
- (a) Business contact and role information: your name, job title, department, business address, business email, and business telephone number.
- (b) Relationship and project data: records of enquiries, meetings, technical discussions, quotations, sample and inspection work, deliveries, support requests, and contractual correspondence.
- (c) Commercial and administrative data: billing and payment details, purchase order references, and, where required for cross-border shipments or export compliance, information needed to complete customs and compliance documentation.
- (d) Publicly available professional information: where relevant to a business relationship, information about your professional role and organisation obtained from public sources such as corporate websites, professional networking platforms, and public registers.
2.3 Job applicants
If you apply for a position with us, we process the information contained in your application, including your CV, cover letter, qualifications, employment history, and any references you provide or authorise us to obtain.
2.4 Sensitive personal data
We do not seek to collect sensitive personal data (for example, data revealing health, religious or political views, or trade union membership). Please do not send us such data unless we have specifically asked for it.
3. Uses made of your personal information
We may use your personal information in the ways set out below. For each use we note the legal grounds we rely on — see paragraph 3.4 for an explanation of these grounds.
3.1 Generally
(a) To respond to you and manage our relationship: to answer enquiries, provide quotations, and administer our ongoing correspondence with you.

(b) For research and development purposes: to better understand customer requirements and to develop and improve our products, software, and services.

(d) To inform you of changes: to notify you about changes to our products, software, or services, including technical and safety-relevant updates.

(e) To ensure website content is relevant: to present content from our websites in the most effective manner for you and your device, and to maintain the security and availability of our websites.

(f) In connection with legal or regulatory obligations: to comply with our legal, regulatory, tax, accounting, and export-control obligations, and to engage with regulators, courts, and law enforcement agencies. This may include disclosing your personal information to such authorities in connection with enquiries, proceedings, or investigations, or where we are otherwise compelled to do so. Where permitted, we will refer any such request to you, or notify you before responding, unless doing so would prejudice the prevention or detection of a crime.

3.2 Customers and prospective customers
(a) To provide our products and services and conduct our business: to carry out our obligations under any agreement between you and us — including the supply, installation, calibration, and support of inspection systems and software, the performance of inspection and analysis services in our laboratory, and the delivery of associated reports and documentation. This may involve passing your data to third parties such as carriers, installers, contractors, or our professional advisers.

(b) To provide you with marketing materials: to send you updates about our products and services where you have chosen to receive them, by post, email, telephone, or other electronic means. Where required by law we will ask for your consent at the time we collect your data. Every electronic marketing message includes an unsubscribe option, and you may also opt out at any time by contacting us as set out in paragraph 5.6.

(c) To ensure that we are paid: to recover payments due to us and, where necessary, to enforce recovery through debt collection agencies or other legal action, including the commencement and conduct of legal and court proceedings.

3.3 Job applicants
(a) To assess your application: to evaluate your suitability for the role, communicate with you during the recruitment process, and, where relevant and with your agreement, keep your details on file for future openings.

3.4 Legal grounds for use of personal information
Under Swiss and European data protection law, each use of personal information must rest on a lawful basis. We are required to set out those grounds in this policy, and we note the relevant grounds next to each use in paragraphs 3.1 to 3.3 above. The grounds we rely on are:
- Consent: where you have consented to our use of your information. You will have been presented with a consent request in relation to any such use, and you may withdraw your consent at any time.
- Contract performance: where your information is necessary to enter into or perform our contract with you.
- Legal obligation: where we need to use your information to comply with our legal obligations.
- Legitimate interests: where we have a legitimate interest in using your data, and our reasons for using it are not outweighed by any adverse impact on your interests, fundamental rights, or freedoms.
- Legal claims: where your information is necessary for us to defend, prosecute, or make a claim involving you, us, or a third party.
3.5 Automated decision-making
We do not take decisions about you based solely on automated processing that would have a significant effect on you.
4. Transmission, storage, and security of your personal information
Security over the internet
4.1 No data transmission over the internet or a website can be guaranteed to be secure from intrusion. However, we maintain commercially reasonable physical, electronic, and procedural safeguards to protect your personal information in accordance with applicable data protection requirements.
4.2 All information you provide to us is stored on our own or our subcontractors’ secure servers and is accessed and used subject to our security policies and standards. Where we have given you, or you have chosen, a password enabling access to certain parts of our websites, you are responsible for keeping that password confidential and for complying with any other security procedures we notify you of. Please do not share a password with anyone.
Recipients of your personal information
4.3 We may share your personal information with:
- service providers acting on our behalf, including IT, hosting, email, and analytics providers, carriers and logistics providers, and installation and maintenance contractors;
- our professional advisers, including legal, tax, financial, and insurance advisers;
- authorities, courts, and regulators where required by law, as described in paragraph 3.1(f);
- a prospective buyer, investor, or their advisers in connection with a sale, reorganisation, or financing of our business, subject to appropriate confidentiality obligations.
We do not sell your personal information.
Transfers abroad
4.4 As our business is international, we may need to transfer your personal information to recipients located outside Switzerland and the European Economic Area (EEA). Your data may be accessed by staff or suppliers in, transferred to, or stored at a destination in a country whose data protection laws may offer a lower standard of protection than Swiss or EEA law.
Certain countries have been recognised by the Swiss Federal Council and, as applicable, the European Commission as providing adequate protection, and no additional safeguards are required for transfers to those jurisdictions. For other countries, we transfer data subject to standard contractual clauses recognised by the Swiss Federal Data Protection and Information Commissioner and the European Commission, which impose equivalent data protection obligations directly on the recipient, unless applicable law permits the transfer without such formalities. Please contact us as set out in paragraph 5.6 if you would like a copy of the specific safeguards applied to a transfer of your personal information.
Retention
4.5 We retain your personal information for as long as necessary for the purposes for which it was collected and for any other permitted linked purpose. For example, transaction details and correspondence may be retained until the limitation period for claims relating to the transaction has expired, or for as long as required by accounting and tax law. Where information is used for two purposes, we retain it until the later retention period expires, but we stop using it for the purpose with the shorter period once that period has ended.
4.6 We restrict access to your personal information to those persons who need it for the relevant purposes. Our retention periods are based on business and legal needs, and information that is no longer needed is either anonymised — in which case the anonymised information may be retained — or securely destroyed.
5. Your rights and contacting us

5.1 You have the right to ask us not to process your personal information for marketing purposes. You can exercise this right when you provide your information to us, by using the unsubscribe link in any marketing email, or at any time by contacting us as set out in paragraph 5.6.

- (a) provide you with further details about the use we make of your information;
- (b) provide you with a copy of the personal information we hold about you;
- (c) correct any inaccuracies in the personal information we hold;
- (d) delete any personal information for which we no longer have a lawful ground to use;
- (e) where processing is based on consent, withdraw your consent so that we stop that particular processing — see paragraph 5.1 for marketing;
- (f) object to processing based on the legitimate interests ground, unless our reasons for that processing outweigh any prejudice to your data protection rights;
- (g) restrict how we use your information while a complaint is being investigated;
- (h) transfer certain information you have provided to us to you or to another controller in a commonly used electronic format.
5.3 The exercise of these rights is subject to certain exemptions that safeguard the public interest — for example the prevention or detection of crime — and our own interests, such as the maintenance of legal privilege. If you exercise any of these rights, we will verify your entitlement and respond in most cases within one month.
5.4 If you are not satisfied with our use of your personal information or with our response to a request, you have the right to lodge a complaint with the Swiss Federal Data Protection and Information Commissioner (FDPIC), Feldeggweg 1, CH-3003 Bern, Switzerland. If you are located in the European Economic Area or the United Kingdom, you may instead lodge a complaint with the supervisory authority in your country of residence.

5.5 We use reasonable efforts to ensure that your personal information is accurate. To help us do so, please notify us of any changes to the information you have provided by contacting us as set out in paragraph 5.6.
