The International Olympic Committee is the guardian of the Olympic Games and the leader of the Olympic Movement.

Mission

As a Corporate & Sustainable Development Coordinator you will support and coordinate the SIL teams in running various projects/activities of the department. You will also provide general administrative support for the department specifically on the management of contracts.

Main responsibilities:

Support Department activities

  • Department support

    • Manage the Department’s weekly and monthly meetings e.g. keep an update list of topics to be presented, compile and share agenda, ensure content is provided by teams in a timely manner, provide follow-up on any actions and moderate the meeting.

    • Keep abreast of new internal policies/procedures/tools in order to facilitate the implementation of them.

    • Plan and organise team building activities and other similar activities for the Department.

  • Lead all contract management process

    • Liaise with Legal, Finance and Procurement Departments on contract discussions to ensure alignment with IOC regulations.

    • Manage supplier registration in the database (CORE).

    • Manage contract set-up and sign-off in Ariba.

    • Create and follow up on SAP purchase orders and purchase requests.

  • Weekly project support :

    • CO2 travel tracking.

    • IOC supplier database back-office support (Sustainable Procurement).

    • Presentation file management.

    • Management of the department’s SharePoint.

Support the Sustainability, Impact and Legacy (SIL) teams in running various projects/activities

  • Provide support for meetings, notably those involving large numbers of participants, and events for CSD units (room reservations, technical assistance, catering services, document collection, badge preparation, and monitoring invitation responses…).

  • Support logistical aspects of the organisation of the Sustainability & Legacy Commission, Gender Equality, Diversity and Inclusion Commission on and the Human Rights Advisory Committee-

Support the Director’s personal assistant (PA)

  • Support to the PA to the Director, on specific project and on a need basis, ensuring deadlines are met.

  • Substitute the PA of the Director in his absence.

Our requirements:

  • CFC, university degree or equivalent education.

  • English or French fluency, with excellent writing and speaking of the other language.

  • Excellent command of the corporate tools and ability to follow the internal user rules (Outlook, etc.). Full proficiency in MS Office 365 (Word, Excel and PowerPoint) and Corporate tools (SAP, SAP Concur, Core, etc.).

  • At least 3 years’ experience in high level support in an international company or equivalent.

  • Highly developed service orientation.

  • Ability to maintain a high level of professional performance.

  • Self-directed and excellent planning, organization and prioritization skills; ability to deal with the unexpected; flexibility.

  • Ability to work well in a team environment, both in terms of managing projects and communicating with colleagues, and as a focal point for the department.

  • Attention to detail.
