Responsibilities:

Student support

  • Work closely with the Programs Coordination Manager, Program Directors and other Program Coordinators to ensure the successful running of the programs
  • Work closely with the student registry services team to ensure clear and efficient student progression and communication
  • Be the main point of contact for students and respond to their requests and queries in a diligent manner by providing relevant information with high professional standard
  • Provide student support
  • Act as a role model to students and demonstrate the highest professional standards
  • Enforce academic policies and procedures
  • Track and manage student absences
  • Monitor student performance and progression, advise and intervene where necessary
  • Support the Program Directors/Heads of Specialisation in organizing business field trips, boot camps, residential weeks and internal events. Attend the activities/events if needed
  • Maintain academic and accreditation related documentation up to date and maintain student information system as well as online learning platform
  • Meet with prospective students and present the programs as needed in collaboration with the enrollment/marketing team
  • Conduct engagement calls/interviews when requested
  • Limit attrition by keeping close contact with students who are off campus (e.g. LOA, internship, studying remotely) by reporting & managing student absence according to Rules and Regulations
  • Work closely with Health Advisors when needed

Program coordination

  • Ensure the smooth running of the programs from a logistics, processes, deadlines and organizational point of view (incl. students welcome, organization of induction activities, organization of progression/and any other relevant panels; organization and follow up on class representatives' elections and meetings; organization of day-to-day administrative activities, organization of visiting lecturers' accommodation, IT access, travel, welcome)
  • Liaise with online technology manager, operations team, enrolment, student registry services, SMEs (subject matter experts), internal verifiers and other Program coordinators to ensure the proper coordination of the student experience
  • Liaise with the Program Directors on faculty contracts, T&Es, operational budgets, Faculty Time Allocation, course scheduling, committees, quality assurance
  • Interact, provide support to and work with faculty and external partners as needed
  • Follow up with elective courses/ specialization choices and classifications in collaboration with student registry services
  • Support the Program Directors/Deans in overseeing the student learning platform and student portal to align with internal quality standard
  • When dealing with Visiting Lecturers / Consultants, carry out the set-up of Moodle pages according to the institution quality standards (including course documents) and proceed with a quality check prior to course delivery
  • When dealing with Visiting Lecturers / Consultants, insert students' grades into student information system
  • Participate in Program Committees, Student Committees and Progression Panels
  • Maintain academic and accreditation related documentation up to date
  • Responsible for PORs, vendor invoices in accordance with the program budget
  • Participate in CREs administration
  • Communicate about academic events with the Marketing team
  • Assist with graduation, alumni, marketing activities and open days when needed

Team support

  • Collaborate closely with all program coordinators to share best practices
  • Display team spirit within the Program Coordinators Team and be flexible when duties and service department allocation varies according to business needs

Other tasks

  • Administrative support and communication when requested

Profile and experiences:

  • Bachelor or Master degree acceptable depending on prior experience and other credentials (both degrees preferably in Hospitality management or Business)
  • Demonstrated interest or experience in supporting the delivery of educational programs
  • Demonstrated project management skills and ability to operate autonomously
  • Several years of work experience preferably in the hospitality industry or in the field of education
  • Excellent verbal and written communication skills, and fluency in spoken and written English
  • Demonstrated ability to work with multicultural teams and in an international environment
  • Highly developed interpersonal and stakeholder management skills
