Our new Group CFO is looking for a capable, proactive, dynamic and very flexible individual to join us as an Executive Assistant.

In this role you will be responsible for administering the office of the Group CFO, coordinating the daily work, and working commitments in line with her agenda. You will serve as a key enabler, overseeing the Group CFO’s daily schedule to ensure she is set up for success, managing special projects, and facilitating communication with internal and external stakeholders.

What you will do

Administrative Support to Group’s CFO:

  • Manage Group CFO’s complex calendar, including anticipating scheduling conflicts, to ensure relevancy of meetings with respect to priorities, travel, and current issues.
  • Proactively manage Group CFO’s incoming information, reviewing correspondence to determine relative prioritization and recommended actions.
  • Arrange business trips in accordance with the company’s travel and expense policies. This includes approvals, planning, bookings, visas, preparing itineraries, timely processing of travel expense reimbursements and post travel follow-ups.

Coordination & Communication Support to Group’s CFO:

  • Respond to urgent and timely requests for information.
  • Support preparation of presentations, reports and other materials for Group CFO meetings and events.
  • Serve as a liaison between the Group CFO Office and various departments, facilitating communication and collaboration with her direct reports.
  • Act as a liaison between the Group CFO and external stakeholders.

Support Group’s CFO on Key Projects & People Processes:

  • Assist with new hires in the department, helping to facilitate the onboarding.
  • Assist in the planning, execution, and tracking of strategic initiatives and projects within the CFO Office.

What you bring

  • Proven experience as an Executive Assistant.
  • Experience in project management and cross-functional coordination.
  • High affinity to technology and absolute proficiency in the MS Office Suite (PowerPoint, Excel, Word) for creating presentations, lists, and documents
  • High degree of independence and a “can-do” attitude, a proactive mindset, sense of urgency, the maturity to take ownership and responsibility, and a desire to collaborate with the team to make Group CFO successful.
  • Structured, results-oriented, and systematic working approach, strong organizational and time management skills
  • Adaptability and flexibility to accommodate last-minute changes in schedules or travel plans.
  • Exceptional organizational and multitasking skills, with a keen attention to detail.
  • Ability to handle confidential information discreetly with the highest level of integrity.
  • Fluency in English, German language skills are a plus.
