In this role you will provide personal assistance and support to the Head of Strategy Implementation, Investment Management. You will be responsible for administrative day-to-day tasks and be asked to work independently and proactively to support the Head of Strategy Implementation and team. The candidate for this role will be highly organized, personable and professional with previous experience of working in a fast-paced administration role.
What you will do
- Provide proactive and efficient administrative support to the Head of Strategy Implementation.
- Be the key administration point of contact for the Strategy Implementation team, and interact with stakeholders in person, by phone and by e-mail efficiently, promptly and accurately.
- Manage the Head of Strategy Implementation’s calendar proactively, resolve issues and coordinate actions within the defined delegated authority.
- Lead on the setting up of senior critical meetings and events.
- Plan any business travel and organize/coordinate the necessary agenda, briefings and documents needed while travelling.
- Lead on oversight & co-ordination for the Strategy Implementation budget.
- Process invoices/expenses within the relevant deadlines.
- Professionally help design and develop MS-Office material (i.e. PowerPoint presentations, Excel files and graphics) for regular and ad-hoc meetings, discussions, training sessions etc.
- Support Investment Management EA’s during periods of PTO and absences.
- Take responsibility for ad-hoc projects, initiatives and communications on behalf of the Head of Strategy
- Implementation and team as appropriate.
- Maintain strict confidentiality in all matters.
This is a maternity cover from April 1st 2026 to end of March 2027.
What you bring
- Commercial Business school diploma, apprenticeship or equivalent.
- Proven experience as an Executive Assistant.
- Strong proactiveness, High degree of independence and a “can-do” attitude.
- Excellent planning and organization skills with adaptability and flexibility to accommodate last-minute changes
- Effective communication skills and good client-orientation are very important.
- Experience in structuring and prioritizing work in an international team environment.
- Fluency in English (spoken and written), German is an advantage.
- Empathy, discretion and capable of handling highly confidential and sensitive information.
- Dynamic and accountable way of working with a mindset of thinking ahead.
- Strong MS Office skills.
- Knowledge of Zurich's internal procedures (e.g. travel booking system, IT infrastructure management, logistics management etc.).
