Position Purpose
The Client Services Concierge is responsible for delivering exceptional front-of-house services, ensuring a professional and welcoming environment for clients, guests, and staff. This role supports meeting room management, guest services, catering coordination, and administrative tasks to maintain operational excellence across two commercial office floors.
Key Responsibilities
Front Desk & Guest Services
- Greet and assist all visitors, ensuring a professional and friendly experience.
- Manage guest arrivals, notify hosts, and direct guests to appropriate meeting areas.
- Answer incoming calls with the approved greeting and redirect calls per company protocols.
Meeting Room Management
- Prepare and maintain meeting rooms, ensuring cleanliness and correct setup for internal and external meetings.
- Coordinate combined function spaces and liaise with IT and cleaning teams for setup.
- Assist with meeting room technology (video conferencing, HDMI connections, AirMedia).
Hospitality & Catering
- Offer tea and coffee service for external guests and executive meetings.
- Coordinate catering orders via EatFirst and ensure timely delivery and setup.
- Maintain kitchen supplies, including milk, tea, coffee, and snacks.
Administrative Support
- Manage mail and courier services, including incoming and outgoing deliveries.
- Maintain accurate records for access cards and assist with security pass activation via Integriti Pro.
- Update calendars for catering and meeting room bookings.
Facilities & Workplace Support
- Log service requests via Investa Connect for maintenance issues.
- Liaise with cleaners, security, and contractors for operational needs.
- Monitor and maintain office supplies, floral arrangements, and beverage stock.
Daily Routine
- Open and close reception area, manage music and ambiance.
- Prepare meeting rooms and refreshment stations.
- Communicate parcel deliveries and assist with internal coordination.
- Ensure end-of-day cleaning and security procedures are completed.
Skills & Attributes
- Strong customer service and communication skills.
- Ability to manage multiple tasks in a fast-paced environment.
- Proficiency in Microsoft Outlook and basic IT troubleshooting.
- Attention to detail and professional presentation.
Qualifications
- Previous experience in concierge, hospitality, or corporate front-of-house roles.
- Familiarity with office technology and booking systems.
- Knowledge of workplace safety and emergency procedures.
