Mission
Provide administrative and project support to the Kudelski Group’s Legal and IP & Innovation organizations. Coordinate approvals and signatures of commercial contracts, manage legalizations, shipments, and filing of various documents. Support corporate governance activities and updates to department resources. Responsible for the tracking, review and submission of invoices for payment, support the General Counsel with quarterly reports and budget management. Support patent and trademark activities, including Inventor Recognition Program, Patent Committee meetings and database management.

Responsibilities
- Serve as the primary contact for approvals and signatures of legal contracts, supporting the Kudelski Group’s global commercial activities:
- Oversee the contract review workflow and collaborate with legal and business stakeholders to ensure timely follow-up, in line with Group policies.
- Coordinate executive approvals, manage electronic and paper signatures, and ensure proper countersignature, routing, and filing of final documents.
- Support lawyers and paralegals with contract-related tasks, including preparing correspondence, obtaining legalizations, and meeting customer-specific requirements.
- Partner with the Paralegal Manager to maintain complete and accurate legal records. Update the legal department’s Intranet pages and other resources.
- Route and track legal invoices, monitor approvals, collaborate with Payables for payment, and prepare quarterly reporting of expenses for purposes of budget management.
- Provide miscellaneous administrative support to the General Counsel, including expense reporting, scheduling department meetings, and maintaining legal files.
- Assist with the preparation, legalization, and shipping of documents related to Corporate Governance activities. Liaise with public notaries, officers and directors, and Corporate Secretary and support the upkeep of corporate records.
- Prioritize and route incoming mail - electronic and physical - and ensure timely routing to the appropriate legal team members and business stakeholders.
- Review incoming invoices from IP service providers to determine if they comply with department guidelines and forward to Case managers to process for payment.
- Organize and maintain documents for the Group’s IP & Innovation organization (KIPI) in a central database, with training and support from the team’s IP professionals.
- Support and Manage the Inventor Renumeration program in coordination with KIPI team and HR.
- Coordinate monthly KIPI meetings with inventors, record minutes of decisions and work with the case managers to track action items.
- Assist in-house counsel on administration of patent and trademark portfolio.
- Provide administrative support to the IP team in Europe.
Requirements / Profile
- Prior legal support experience, ideally in an international and multi-cultural environment.
- Clear communicator, both in writing and orally.
- Highly organized, with strong prioritization skills and the ability to manage multiple tasks and projects independently.
- Excellent attention to detail.
- Self-motivated and results oriented.
- Able to handle confidential information with discretion.
- Team player with the ability to interact with all levels of the organization in a highly professional manner.
- Professional demeanour, integrity, and passion for work. Must desire to learn and gain new experience in a dynamic team environment.
- Proficient in Microsoft Office Suite, strong skills in Microsoft Word and SharePoint. Experience with Dynamix CRM or other enterprise management solutions.
- Fluent in French and English.
