What is my function?

  • Calendar and Email Management: Manage the Head of Sales & Marketing's calendar, schedule appointments, coordinate meetings, and handle emails to ensure timely communication.

  • Travel Arrangements: Coordinate travel, including flights, accommodation, and transportation for the Head of Sales & Marketing and team members.

  • Meeting Coordination: Prepare meeting materials, take minutes, distribute them, and follow up on action items.

  • Document Management: Maintain and organize files, and assist in creating and editing documents, presentations, and reports.

  • Communication and Correspondence: Draft and proofread emails, letters, and other correspondence, ensuring accuracy and professionalism.

  • Data Analysis and Reporting: Assist in gathering and analyzing sales and marketing data, prepare reports, and create visual presentations.

  • Relationship Management: Build and maintain relationships with stakeholders, serve as a point of contact, and provide exceptional customer service.

  • Special Projects: Support various special projects, including market research and event coordination.

What do I need to be successful?

  • A high school diploma or equivalent is required, with additional education or certification in business administration or a related field being advantageous.

  • Demonstrated experience as an administrative assistant or in a similar role is essential, preferably in a sales or marketing environment.

  • The ideal candidate possesses excellent organizational and time management skills, adept at prioritizing tasks and meeting deadlines consistently.

  • Attention to detail and accuracy in all work is paramount for this role.

  • Proficiency in the Microsoft Office Suit and other relevant software is expected.

  • Exceptional written and verbal communication skills in both German and English are necessary.

  • The ability to maintain confidentiality and handle sensitive information with discretion is crucial.

  • Strong interpersonal skills are required, along with the capability to work effectively in a team environment.
