The HR Onboarding & Offboarding Specialist will help new staff adjust well to our work environment. An onboarding specialist you will be responsible for ensuring a seamless onboarding experience for new employees, ensuring they feel welcomed and supported prior to their arrival in Switzerland. Working closely with various departments to coordinate onboarding activities, such as preparing new staff paperwork, conducting orientations and inductions, and creating personalised onboarding plans, you will be a people person who enjoys planning. 

 

Specific Responsibilities 

Role:

  • Building culture and engaging staff prior to their arrival at the School

  • Bringing best practices to the workplace by providing timely, clear, and relevant information through the development of clear processes for onboarding and offboarding

  • Participate actively in policy development and design which clearly articulates the processes required to onboard and offboard staff

  • Increase transparency by providing HR Policy guidance and training for staff as required

  • Be future-focused and ready by reviewing practices and enhancing the efficiency of the HR team

  • Challenge ideas and practices by suggesting new HR strategies and improvements in HR systems and operations based on employee feedback 

Responsibilities:

  • Coordinate and schedule new employee onboarding activities, including orientations, training, social events, and introductions to relevant team members.
  • Create the buddy schedule for the commencement of the academic year.
  • Prepare new employee paperwork, including contracts, forms, and benefit enrolments.
  • Create and maintain personalized onboarding plans for each new employee.
  • Assist new employees with completing required onboarding documentation and processes.
  • Serve as a main point of contact for new employees during their onboarding journey, answering questions and providing support.
  • Collaborate with department heads to ensure new employees are properly onboarded and have the necessary resources to succeed.
  • Assist in developing and implementing onboarding policies and procedures to streamline the onboarding process.
  • Create clear policies and employee handbooks that explain company operations and processes relating to the school.
  • Craft and send emails with information about the school and the employee’s position, including work schedules, dress code, and expectations.
  • Prepare onboarding kits and arrival packages.
  • Welcome new employees upon their arrival; giving them a tour of the school and local area.
  • Introduce team members and construct sessions that allow for question-and-answer sessions.
  • Gather and process paperwork, like contracts and non-disclosure agreements.
  • Coordinate presentations and engage with team members to drive the onboarding experience
    Inform employees on their first tasks (e.g., which programs to download and how to activate their accounts).
  • Ensure new hires have technical assistance to properly set up their hardware and software.
  • Distribute manuals, passwords, and guidelines, as needed.
  • Address new hires’ queries regarding their contracts and payroll.
  • Prepare all offboarding paperwork and support departing staff, ensuring housing, immigration, and employment obligations are known and met. 

The successful candidate will have: 

  • Proven experience as an HR Generalist or similar role in the education management industry.

  • In-depth knowledge of HR policies, procedures, and best practices.

  • Strong understanding of employment laws and regulations.

  • Knowledge of HR best practices and employment laws and regulations.

  • Experience in a customer service role.
