Reporting to the Sales Director, the Event Coordinator is responsible for the logistical and administrative coordination of events organized within the establishment, ensuring excellent operational execution and optimal customer satisfaction. He/she plays a key role between the sales, operational teams, and clients.
Main responsibilities:
Ensure the planning and logistical coordination of events (seminars, weddings, private dinners, conferences, etc.).
Be the main point of contact for the client after event confirmation until its completion.
Work closely with the F&B, Kitchen, Housekeeping, Front Office, Technical, and Security departments to ensure proper event setup.
Prepare the Banquet Event Orders (BEO) and ensure their distribution to the relevant departments.
Participate in daily and weekly operational meetings (BEO meetings).
Carry out post-event follow-up: client feedback, invoicing, performance report.
Maintain accurate documentation on events and ensure archiving of client files.
Ensure compliance with hotel quality, safety, and hygiene standards.
Participate in the continuous improvement of the event offering and propose creative ideas.
Required skills:
Excellent organization, communication, and time management skills.
Attention to detail and ability to manage multiple projects simultaneously.
Strong client relations and service orientation.
Knowledge of event management software (Opera Sales & Catering) is a plus.
Ability to work under pressure, including weekends and extended hours if needed.
Desired profile:
Training in hospitality, event management, or equivalent.
Successful first experience in event coordination or sales.
Fluency in French and English (written and spoken), any other language is a plus.
Neat appearance, dynamism, and team spirit.
