The position is attached to the Department of Community and Primary Care Medicine (DMCPR). This department combines a societal mission aimed at enabling access to care for all and an academic mission focused on pre- and post-graduate teaching and research in primary care medicine.
The primary care medicine service provides outpatient care for adult patients within primary care medicine. This service also offers outpatient emergency medical services to the population. As part of the Geneva University Hospitals' general interest missions, it provides access to care for disadvantaged populations due to their age, social, economic, legal status (asylum seekers, those affected by non-admission, undocumented migrants, prisoners), or lifestyle habits; if necessary, the primary care medicine service also ensures continuity of their care.
Job Description
You assist the chief physician of the service with the management and administrative organization of the department in clinical, academic, and research areas, ensuring the interface between the different professional sectors.
You collect the necessary information to compile files for decision-making and ensure their follow-up.
More concretely, you organize meetings and conferences using institutional electronic calendars. You prepare, monitor, and archive files for various service projects, write meeting minutes, and coordinate the follow-up of decisions made.
While responding to various requests such as welcoming, informing, and directing patients and visitors, you independently manage schedules (VRH), monitor and transmit evaluations as well as personnel hires. You ensure proper management of billing and reimbursements for research and training activities, the drafting and dissemination of internal training programs for physicians, and the monitoring of the budget allocated to the service and the chief physician's projects. You also guarantee the interface with all service secretariats as well as with the department's administration and HR.
Within the team, you demonstrate proactivity and develop a close relationship with the service's employees, ensuring continuity in the secretariat during absences. More generally, your service-oriented mindset makes you agile and diplomatic, contributing to a positive work environment where everyone can express themselves without judgment.
In a service firmly oriented towards innovation, which designs solutions based on artificial intelligence and other latest technologies, you show commitment and a genuine interest in actively contributing to these developments.
Qualifications
You hold a federal certificate of capacity as a commercial employee and the federal diploma of executive assistant.
You have at least 5 years of experience in medical secretarial work.
You have perfect oral French skills and proven writing ability. Proficiency in English at B1 level or German is a real asset.
You have very good knowledge of computer tools (ECDL advanced level for Word, Excel, PowerPoint, Outlook and/or Web) and adapt easily to new IT tools.
Finally, you demonstrate a keen sense of discretion and confidentiality.
