As part of our development, we are looking for a future Executive & Personal Assistant who will support Mr. Cyril de Bavier, CEO and Partner of Swissroc, on a daily basis.
Your mission as an Executive & Personal Assistant?
Provide organizational support to Cyril de Bavier and juggle a multitude of varied tasks, ranging from administrative management to more specific personal assignments.
In this role, your main tasks:
Administrative and logistical management:
Manage the professional and personal calendar: plan and organize appointments, meetings, and trips.
Manage correspondence: emails, letters, and other communications, sort important information and respond to routine requests.
Proofread, prepare for signature, and file documents.
Prepare meetings: organize meetings, prepare necessary documents, take notes, and follow up on decided actions.
Coordinate and organize professional and private travel: booking flights, hotels, and transportation.
Organize and coordinate internal or external events, such as conferences, seminars, and company meetings.
Update the CRM (HubSpot) during meetings.
Welcome, interact with, and follow up on requests from the professional and private network.
Accompany or drive Mr. de Bavier to various appointments and events if needed.
Improve internal communication: act as a point of contact between the executive and employees, transmit directives and important information.
Manage administrative tasks: follow up on ongoing files, process invoices and expense reports.
Project management:
Ensure management of ongoing projects: monitor projects, coordinate different departments, and meet deadlines.
Conduct research and analysis, and prepare reports to assist decision-making.
Personal support:
Make various purchases: personal shopping, client or private gifts.
Plan and organize personal events.
Make payments and manage private administrative tasks.
Run various errands: pick up the car from the garage, collect a package, etc.

What we offer:
A fixed-term contract of approximately 6 months starting from March or April 2026. [maternity leave replacement]
A contract based on 45 hours per week for a full-time position (100%), with flexible hours.
5 weeks of annual leave + days off between Christmas and New Year + Ascension and Geneva/Federal fasting bridges offered, for a better work-life balance (between 31 and 36 days of leave pro rata to your contract)
