About the job
The ARTORG Center for Biomedical Engineering Research is a strategic center of the University of Bern and part of the Faculty of Medicine. It brings together interdisciplinary research groups from engineering and medicine that jointly develop innovative solutions for clinical challenges. The specialized Master's program in Biomedical Engineering, conducted in cooperation with the Bern University of Applied Sciences (BFH), is also based at ARTORG.

Tasks
Institute and Secretariat Administration (Main area of responsibility)
- Independent management of the secretariat as well as deputizing for other secretariat managers at ARTORG
- Comprehensive administrative and organizational support for research group leaders and their teams
- General administrative tasks (minute taking, telephone and mail service, central office organization)
- Organization and support of workshops, conferences, and institute events (including travel and hotel bookings)
- Procurement of office and laboratory materials as well as coordination with central university services
Personnel Administration
- Complete handling of personnel processes for cantonal and third-party funded employees as well as scholarship holders (recruitment, entries, changes, exits)
- Preparation of all necessary documents for the employment of foreign employees (EU and third countries)
- Creation of teaching contracts, job advertisements, job descriptions, and duty rosters
- Responsibility for absence and time control (JAZ officer)
Financial Administration
- Controlling of operating credit and third-party funds accounts
- Debtor/creditor workflow (including use of financial reporting and e-forms)
- Creation and recording of expense reports and flat-rate compensations
- Responsibility for the Internal Control System (ICS)
Study Coordination (Master Biomedical Engineering) – Partial area
- Budget management and issuance of teaching assignments
- Support of administrative processes in the study program (timetable, exams, master theses, graduations)
- Communication with lecturers and students in German and English
Requirements
- Completed commercial training and/or several years of experience in administration (experience at universities or in research is an advantage)
- Confident German and good English skills; French skills are an advantage
- High sense of responsibility, initiative, and structured working method
- Strong teamwork skills and service-oriented demeanor
- Interest in university and scientific processes
- Openness to new tasks and processes in a dynamic research environment
