Attached to the Department of Medicine , the endocrinology, diabetology, and metabolism service provides diagnostic and therapeutic care for patients suffering from endocrine, metabolic diseases or diabetes. Patient care is carried out in collaboration with other HUG services.
Job Description
You participate in managing the secretariat and prepare patient files; after consultations, you independently and promptly type medical reports. If necessary, you schedule additional medical examinations.
Thanks to your interpersonal skills, you welcome, inform, and guide patients presenting to the unit and manage incoming telephone calls.
While responding to various requests, you successfully and autonomously carry out administrative activities related to your role such as scheduling consultations, following up on patient files, managing mail and email, processing invoices, handling reimbursement requests, managing the website, preparing and maintaining unit statistics, and managing staff access rights.
You demonstrate proactivity in performing logistical tasks arising from secretariat operations such as ordering supplies, fee notes, and archiving.
Within the team, you develop close relationships with your fellow secretaries and ensure service continuity during absences.
Your service-oriented mindset makes you an agile person ready to apply your versatility to serve the institution by working in different departments as needed.
Qualifications
You hold a commercial maturity diploma (or any equivalent training deemed appropriate) and a medical secretary diploma would be an asset.
You have 1-2 years of successful experience in a similar position within a medical secretariat.
You have perfect mastery of French, both spoken and written, and proven writing skills. Medical terminology is easily understandable to you.
You have very good knowledge of computer tools (ECDL advanced certificate for Word and standard for Excel) and knowledge of software used at HUG (DPA, DPI, OPALE, GRECO, Winscribe, Vision RH, Eprocess, and Laboratory Request) is a real asset.
Possessing a good team spirit, you are capable of working in a shared office with several secretaries.
While having good organizational and prioritization skills, you are autonomous, rigorous, and precise in the tasks assigned to you.
You also have the tools to handle unforeseen events and easily manage stressful situations.
Finally, you demonstrate a strong sense of confidentiality.
