The Institutes for Romance Languages at the University of Bern are active in teaching and research for
Italian, Spanish, and French languages.
The Institute for Italian Language and Literature as well as the Institute for Spanish Language and Literature at the University of Bern are looking for a head of the institute secretariats starting June 1, 2026, or by arrangement.
Tasks
- Independent management of the secretariats of the Italian and Spanish institutes (linguistics and literature)
- Personnel administration (preparation of hires, changes, maintaining personnel files, managing personnel points, absence, time and salary control as well as control according to IKS)
- Financial administration (budgeting, management and administration of operating and third-party funds, accounts receivable and payable workflow, trend calculations, expense reports, etc.)
- Correspondence, telephone availability, and handling of daily business
- Organization and coordination of events and functions
- Course administration: recording lectures and events, applying for room reservations
- Administrative support of the Karl Jaberg Foundation (board of trustees, commercial register office, foundation supervisory authority, payment of printing cost contributions)
- Other secretarial tasks (inventory management, material procurement, contact point and person of contact for supervisors, lecturers, staff, and students)
Requirements
- Commercial or comparable training as well as several years of professional experience
- Experience in university administration is an advantage
- Very good oral and written knowledge of German
- Knowledge of Italian or Spanish and French or English
- Very good self-organization and a strong sense of responsibility, careful working style as well as resilience and flexibility
- Very good knowledge of common IT applications (MS Office), Teams, Zoom, etc.
