Strategic Program Coordinator

for its global Pharma Division Headquarter based in Allschwil- Basel.

Primary Job Function:

Coordinate execution of strategic projects under Marketing Excellence programs, with primarily focus on next generation customer engagement as we are moving forward with scaling 10 countries and several brands.

Driving for value and impact, you will work with the community, establish and maintain fit-for-purpose program management processes, including ensure governance runs properly, and reporting, to ensure visibility of the roadmap achievement to personalized customer engagement.

Core Job Responsibilities:

Deliver strategic project support and management by proactively undertaking a wide range of administrative tasks, project supporting for EPD strategic priorities, and stakeholder engagement to enable roadmap execution, project planning, decision-making, budget management, communication, coordination and tracking of activities to deliver key milestones. Tasks include:

  • Internal and external communication

  • Project management support for ongoing activities  and plan management

  • Administration of business schedules and expenses

  • Coordinate vendors deliverables per schedule, including communication with agencies as per agreed communication plan

  • Contribute to the projects by coordinating knowledge sharing sessions like ENGAGE core team meetings, community calls, Marketing Excellence network meetings, etc. - and work with business stakeholders to successfully deliver strategic projects

  • Demonstrate and foster teamwork, collaborate productively with and influence project team, peers and all levels of management and ensure efficient communication and processes

  • Develop measurement strategies to ensure programs delivering their intended value; and take a broad view of cross-functional activities to raise and leverage inter-dependencies

  • Develop and consolidate executive presentations for SLT members

Budget management:

  • Booking of invoices and follow up of payments.

  • Set-up and tracking of contract within the corporate compliance framework.

  • Budget planning and management

Minimum Education:

  • Bachelor's degree or higher, with

  • 5+ years’ work experience including several years of project management experience and success in managing complex organization transformational projects or IT or data initiatives in matrix and international environments.

  • Previous experience in consulting or proven experience in setting up program management from the start in complex organization is a plus

  • Demonstrated experience with PM tools (e.g., Smartsheets, Google Suite, JIRA, etc.) and data visualization tools (e.g. Tableau)

  • Digital program implementation is

  • Project management certification preferred (e.g PMI, Prince)

Minimum Experience/Training Required

  • Strong experience in stakeholder management (internal and external)

  • Leadership and collaboration skills

  • Outstanding communication and presentation skills, both verbally and in writing

  • Strategic and Analytical Skills: demonstrated ability to coordinate comprehensive execution plans

  • Program Operations Management Expertise: expertise in planning and advancing initiatives that significantly enhance business operations, underscored by ethical practices and responsible management

  • Strong communication and presentation skills

  • Results driven and comfortable moving concepts and actions forward in an ambiguous environment across domains

  • Ability to work independently, effectively and positively with cross-functional teams

  • English proficiency (oral and written), other languages considered an advantage

  • Comfortable with both waterfall and agile project management methodologies
