The role
We are seeking an experienced and highly professional Travel Manager (80%) to join our External Affairs team in Geneva for a two-year period.
This is a pivotal, hands‑on role responsible for managing MMV’s global travel operations end‑to‑end, with a strong focus on duty of care, security, service quality, and cost control.
This position is ideal for a travel professional who thrives in complexity, remains calm under pressure, a d takes pride in delivering high‑touch support to travelers operating in challenging environments.
What you will do
You will manage and coordinate all aspects of travel for MMV staff, Board members, partners, consultants, and guests, ensuring that every journey is compliant, safe, and fit for purpose. Your responsibilities will include:
- Planning and booking complex international travel in line with MMV’s Travel and Security Policy, using Amadeus and coordinating ticket issuance with our travel agency
- Organizing travel to remote and endemic locations, including accommodation, ground transport, security arrangements, and sanitary clearances where required
- Managing last‑minute changes, cancellations, and disruptions, proposing effective solutions and reissuing tickets as needed
- Coordinating travel security with MMV’s security partner based on destination‑specific risk levels and International SOS guidance
- Managing visa processes and providing clear, practical advice to travelers on itineraries, requirements, and constraints
- Overseeing travel budgets on request and ensuring cost‑effective fare management across published, negotiated, corporate, and NDC fares
- Negotiating airline contracts and managing renewals and corporate fare access
- Managing the full financial relationship with AirPlus, including invoice checks, reconciliation, and coordination with Finance
- Maintaining travel records, approvals, and documentation to ensure auditability and compliance
- Managing technical interfaces, training, and processes with Amadeus, the travel agency, AirPlus, and other vendors
- Supporting continuous improvement by staying abreast of industry developments and recommending tools or process enhancements where relevant
- Coordinating workload between the internal Travel Officer and external providers
Who you are
You are a seasoned travel professional with strong judgment, exceptional organizational skills, and the confidence to manage sensitive and high‑risk travel scenarios.
You bring:
- A business diploma (CFC or equivalent)
- At least 7 years of recent experience in a similar role, ideally within an internalized corporate travel function
- Advanced proficiency in Amadeus
- Strong expertise in airfare tariffication, rerouting, and ticketing rules
- Excellent command of English and French, both written and spoken
- Strong proficiency with Microsoft Office tools
You are known for your ability to communicate clearly, negotiate effectively, and remain composed during crises. You work independently, adapt easily to change, collaborate naturally across teams, and take a proactive approach to improving how things are done.
