Medicines for Malaria Venture (MMV) is a leading product development partnership (PDP) in the field of antimalarial drug research and development. Its mission is to reduce the burden of malaria in disease-endemic countries by discovering, developing and delivering new, effective and affordable antimalarial drugs.
Over the past two decades, MMV has worked with an extensive network of donors, private and public sector partners, experts and clinical centers in endemic countries to develop an outstanding portfolio of antimalarial projects. Our portfolio is financed through funding support coming from government agencies, private and corporate foundations, international organizations, corporations and private individuals.
We are seeking an Executive Assistant for a one year contract working at 80%. The job holder will provide high-quality administrative and operational support to the Chief Strategy Office and wider MMV team. This role supports efficient coordination of team operations through effective meetings, and smooth coordination of key initiatives that drive collaboration and delivery of MMV’s mission. The Assistant is proactive, organized, and committed to maintaining high standards in team operations, meetings, and stakeholder engagement. Candidates who apply should be immediately available
Key Responsibilities
- Serve as Executive Assistant to the Chief Strategy Officer and primary backup to the CEO’s Executive Assistant.
- Manage complex calendars, schedule appointments, and organize tele/videoconferences.
- Handle emails, correspondence, phone calls, and monthly expense reports.
- Organize and facilitate team meetings: prepare agendas, distribute materials, record minutes and action items, and ensure timely follow-up.
- Support team collaboration and delivery of objectives through responsive administrative assistance.
- Take ownership of key initiatives to enhance team efficiency, including managing relationships with service providers, overseeing consultancy contracts, and supporting procurement processes.
- Arrange travel and logistics, prepare travel documents, and set up in-person meetings.
- Prepare support materials for internal/external meetings and Board presentations.
- Provide cross-functional administrative support to other MMV teams and Project Directors as needed.
Education and Experience :
- Commercial degree or equivalent
- 3-5 years of experience as Personal/Executive Assistant or Administrative Assistant
- Confirmed experience dealing with high level stakeholders
- Experience in team-wide support in an R&D environment is a big plus
- Knowledge of the international public health sector (non-governmental organization) or work within the pharmaceutical sector a plus
Technical Skills:
- Fluent in English and basic working knowledge of French
- Expertise with Word, PowerPoint, Excel, Outlook
Behavioural Skills:
- Strong communication skills, both verbally and in writing
- Excellent organization skills and time management
- Ability to work independently under minimal supervision
- Ability to handle confidential information reliably and discretely
- Flexibility and ability to handle changes
