About the job
Start of employment: immediately or by arrangement
The position is limited until December 31, 2027, extension is possible.
The university Core Facilities (UCF) Microscopy Imaging Center (MIC, www.mic.unibe.ch ) and Data Science Lab (DSL, www.dsl.unibe.ch ) are jointly looking for a committed administrative specialist (personnel and finance) to support the administrative handling of personnel and financial processes.
The MIC supports researchers university-wide in the diverse fields of microscopy. It organizes, coordinates, and initiates services, training, and public events. The MIC is also involved in teaching; the doctoral program Cutting Edge Microscopy is also under the administration of the MIC. Employment 40 – 60%.
The DSL supports researchers university-wide in the fields of data science, machine learning, artificial intelligence, and research IT. It is involved in teaching for students and in training for researchers. Employment 40%.
If no suitable candidate is found for 80-100%, a split between two persons is possible.
Tasks
Finance and personnel administration:
- Independent processing and coordination of personnel matters (entries, exits, changes, expense reports, absences, vacation balances, contracts, certificates, etc.)
- Independent management of financial resources with regular processing and control of credits, invoices, expenses, and transfers.
- Preparation of correspondence, statistics, overviews, and reports.
- Maintenance and updating of documents, databases, and internal processes.
- Meeting coordination, scheduling, and minute-taking.
- Support in organizing events, teaching, and training offers.
Requirements
Completed commercial basic education (EFZ) or equivalent training.
Several years of professional experience in administration, preferably in finance and personnel administration at the University of Bern.
- Excellent German and English skills.
- Very good MS Office skills and willingness to familiarize yourself with new IT applications.
- Independent, reliable, and structured working style with a high service orientation.
- Discretion and accuracy in handling confidential information.
