We are looking for a dynamic Administrative Assistant (General Management and General Secretariat) between 80 and 100% to coordinate, organize, and support all administrative, logistical, and organizational activities within the General Management and the General Secretariat.
The tasks awaiting you:
Routine administrative management
- Ensure correspondence, sort and process incoming mail
- Welcome visitors and manage telephone calls
- Update documents, follow up on invitations, letters, and files
- Maintain electronic archiving and act as Business Travel CFF referent
Invoice management
- Check, enter, and process invoices related to meetings, travel, and projects
Meeting organization
- Schedule CEO, president, and General Secretariat meetings in Outlook
- Organize logistics (book rooms, order breaks/meals/provide necessary equipment)
- Develop the annual calendar and macro-planning
Support for internal events
- Help organize seminars, conferences, trips, general assemblies, and year-end events
Contribution to CSR projects
- Analyze and process donation requests
- Proofread the sustainability report
- Participate in organizing thematic sessions
Your profile:
- Have commercial training or equivalent and at least three years of experience in executive assistance
- Organize, prioritize, anticipate, and manage multiple activities simultaneously with efficiency
- Develop a strong team spirit, embody an impeccable sense of service, and guarantee exemplary confidentiality
- Master Office tools at an advanced level, especially Outlook, PowerPoint (to create presentations), Word, and Excel
- Maintain smooth relationships thanks to excellent interpersonal skills
- Work autonomously and anticipate the needs of the Management
- Communicate perfectly in French, both orally and in writing, and use German at a B2 level
- Write with precision and ease
