Your Tasks
- Friendly and service-oriented communication with customers, suppliers, and internal contacts
- Receiving, professional processing, and if necessary forwarding of incoming calls
- Recording and forwarding of call notes via email
- Reception and care of guests in training and meeting rooms
- Organization and maintenance of brochures in the reception area
- Carrying out administrative tasks such as maintaining various lists
- Filing and scanning of delivery notes and other documents
- Support of the Human & Culture department with administrative tasks
- Coordination of hotel reservations
- Organization of events
- Responsibility for the inventory of BSW clothing
- Responsibility for the entire fleet management: administration, scheduling, inspections, damage management, etc.
- Responsible for the administrative organization of reception and office daily routines, including mail and cash management, material and order management, care of premises and infrastructure, coordination with the janitor, disposal tasks as well as the organization of beverage and catering services for internal and external meetings, training sessions, and meetings
Our Requirements
- Completed commercial training (EFZ) or comparable education
- Several years of professional experience in a comparable administrative function, ideally with customer contact and reception duties
- Confident German language skills in spoken and written form, additional language skills (French/English) are an advantage
- Very good MS Office skills, especially Outlook, Word, and Excel
- Experience with modern communication tools and digital filing systems
- Organizational talent with a structured, efficient, and independent working style
- Strong service orientation and professional appearance towards internal and external stakeholders
- High social competence, teamwork skills, and enjoyment in contact with people
- Sense of responsibility and accuracy in task execution
- Flexibility, resilience, and willingness to handle various tasks simultaneously if needed
- Discretion and trustworthiness, especially when dealing with sensitive information
