The position is attached to the Real Estate Management (DI) which has the mission to define a real estate portfolio strategy, to develop the coherence of the monitoring of major projects according to the 2022-2040 hospital master plan, in strong partnership with the main State services attached to the Department of Territory, the Department of Infrastructure and the Department of Health, to optimize the monitoring of surfaces and its future planning, while ensuring the smooth operation of services. More than 230 professionals carry out their missions daily with constant rigor, a sense of service, and environmental responsibility.
Job description
As a secretary, you assist the site manager and his team in the administrative management of the sector.
In this sense, you independently handle the tasks of a technical secretariat involving several professions, while ensuring smooth and quality communication with all partners.
On a daily basis, you organize and ensure the operation of the secretariat (mail, telephone, filing, archiving, logistics, agenda, supplies). You write, proofread, correct, and format various documents and prepare and organize meetings.
You distribute documents to the relevant contacts and ensure follow-up on decisions. You follow institutional directives and ensure compliance with internal procedures and update documentation, procedures, as well as the sector's intranet site.
In your role as secretary, you enter requests into Cegid and Carl, monitor their progress and status, and follow up if necessary.
You control and manage orders, receive documents, and prepare invoices for approval. You participate in meetings and working groups, take notes, and write minutes.
You search for necessary information internally or externally for projects and file, archive, and document technical files (tables, reports, statistics, technical sheets).
You also have the administrative responsibility to track and enter absences in our Vision-HR software (illness, accident, on-call, vacation, training).
You manage expense reports, training requests, and HR documents related to the activity and ensure the administrative management of companies operating on site (badges, keys, necessary documents).
You enter and manage electronically the documents essential to the proper functioning of the sector.
Qualifications
You hold a Federal VET Diploma as a commercial employee or an equivalent recognized qualification.
You have 3 to 5 years of experience in a similar position, ideally in a technical environment.
You possess excellent writing and oral expression skills in French.
You have perfect mastery of IT and office tools with an ECDL Advanced level for Word and Standard for Excel.
You demonstrate rigor, autonomy, a sense of priorities, and appreciate working in a team in a demanding context.
