Presentation
The Doctoral School of the Faculty of Biology and Medicine (FBM) of the University of Lausanne provides university training for about 1,000 doctoral researchers, distributed across several fields: life sciences, nursing sciences, neuroscience, medicine, medical sciences, as well as the humanities and social sciences of medicine and health.
This 3rd cycle training leads to the degree of doctor after about four years of original research (thesis). It includes a structured program of courses and workshops aimed at developing the scientific and transversal skills of doctoral students. Although doctoral students are distributed across various laboratories, the Doctoral School ensures the quality and coherence of the program, coordinates thesis-related procedures, and supports students throughout their training.

Your activities
You will be responsible for the management and administrative follow-up of various doctoral thematic programs, notably aspects related to 3rd cycle training/courses throughout the doctoral journey and the thesis completion procedure. You will act as an interface between doctoral students, teachers, and program managers, in close collaboration with other office staff and the educational assistant.
Main activities
• Monitoring doctoral students: managing the thesis procedure, validating training (internal/external to UNIL), reminders and notifications, entering ECTS credits, updating databases;
• Training management: preparing and administering the registration platform, monitoring registrations;
• Communication: regular exchanges with doctoral students, teachers, and scientific committees of the fields;
• Updating study plans in the administrative system;
• Organizing defenses for the PhD in neuroscience;
• Coordinating enrollments for thematic programs in neuroscience and in the humanities and social sciences of medicine and health;
• Participating in the development of new tools and processes;
• Cross-functional support for the smooth running of the Doctoral School.
Your profile
• Education: Commercial employee CFC or equivalent qualification
• Experience: at least 5 years of proven experience in an administrative role, preferably within a public institution and ideally university/academic/higher education
• Languages: excellent command of French (spoken and written, impeccable spelling) and good level of English (spoken and written, minimum B2)
