The Oncology Department provides diagnostic and therapeutic care for adult patients suffering from cancerous diseases and supports patients and their relatives. The goal is to ensure access to the best anticancer treatment, offer appropriate care, and anticipate the needs of hospitalized patients (bone marrow transplant, cell therapy, immunotherapy, etc.). Additionally, the Cancer Center coordinates cross-sectional activities dedicated to cancer issues between services and departments.
It includes 4 services (hematology, oncology, precision oncology, and radio-oncology) and is composed of about 300 employees.
Job Description
You are responsible for the administrative assistance and support of two senior physicians, including a Unit Head, for all administrative tasks related to clinical, academic, and research activities.
You provide personalized, professional, and caring physical reception for patients, employees, visitors, and users.
You manage the scheduling of simple and complex medical consultations on the electronic calendar and organize additional examinations, including appointment scheduling, while ensuring the proper follow-up of the medical file and patient trajectory.
Simultaneously, you handle all written correspondence (various medical reports, corrections, and formatting of scientific documents) as well as upward and downward communication for the two senior physicians, filtering and prioritizing information.
You organize business trips, training registrations, and handle reimbursement procedures.
You participate in organizing meetings, symposiums, and conferences, and ensure the drafting and transcription of minutes.
While responding to various requests, you independently carry out administrative activities related to your role such as internal/external telephone management, shared email inbox, time entry, agenda planning during vacations, handling internal/external mail, ordering supplies, and managing complex billing (laboratory, research, UNIGE, Advisory board, and others).
In a spirit of collaboration and cohesion, you develop close relationships with your colleagues at the Breast Center. Generally, your service orientation, flexibility, and versatility allow you to efficiently respond to various secretarial requests.
Qualifications
You hold a commercial maturity diploma or a commercial employee CFC and an advanced administrative training such as a Federal Certificate of Assistant or Executive Assistant.
You have 5 years of successful experience in a similar position. Knowledge of academic and research activities is an asset.
You have perfect mastery of French, both spoken and written, and proven writing skills. Medical terminology is easily understandable to you.
You master a foreign language, English or German at a minimum B2 level, and have knowledge of another language.
You hold the ECDL standard certificate for Web and Advanced level for Word, Excel, PowerPoint, and possess very good knowledge of software used at HUG (DPA, DPI, E-Procurement, OPALE, GRECO2, Winscribe, VRH).
Dynamic, rigorous, and methodical, you demonstrate a keen sense of organization, initiative, and planning. Thanks to your versatility, you can manage several tasks simultaneously (priority management, request prioritization, flexibility).
Finally, you demonstrate discretion and respect for confidentiality.
Daily presence is desired.
