Do you like to keep an overview when many things are happening at the same time? As a central hub in the HR Development team, you organize training sessions and events from A to Z for our employees.
Department: Finance & Services
Start date: Immediately or by arrangement
As a team member in the self-organized HR Development team, you are responsible for the administrative and organizational coordination of all training activities within Finance & Services. You ensure the smooth planning, execution, and follow-up of training events and are the central contact point for all involved.
This essentially includes:
- You plan and coordinate the training program of Finance & Services including room, hotel, and catering organization.
- You manage the administration of courses and events from announcement to follow-up, including registration process, participant and waiting lists, as well as participation certificates.
- You organize in-person and online events and ensure a smooth process including technical support.
- You maintain courses in Moodle and on information platforms such as intranet, internet, and SharePoint.
- You create evaluations and analyze feedback on training events, prepare reports and key figures, check, account for, and document invoices.
- You plan, coordinate, and send newsletters about training offers.
- You actively contribute suggestions for process optimizations and automations in training management and support their implementation.
- You have completed a commercial basic education and have experience in organizing and administering events or projects.
- You work very structured and keep an overview even with several parallel activities.
- You use Microsoft 365, especially Outlook, Word, Excel, Teams, and SharePoint, confidently in daily work.
- You work service-oriented, carefully, and independently and enjoy contact with various internal and external contacts.
- You are familiar with the university environment or have worked in a comparable organization with diverse stakeholders.
- You have experience with learning management systems like Moodle or are willing to quickly and independently familiarize yourself.
- You are interested in efficient processes, process optimizations, and automations and actively contribute your own ideas.
