fide stands for Français, Italiano, Deutsch in Switzerland and is the national program to promote the linguistic integration of migrants.

The fide office in Bern implements the program operationally and continuously develops it further. Central tasks include the development and provision of fide tests, the qualification of language course instructors in the integration sector, the awarding of the fide label, as well as the organization of training sessions, workshops, and events. It is a national competence center and acts on behalf of the State Secretariat for Migration SEM.
We are looking for a committed, structured, linguistically skilled person as a Training Administration Specialist 100% starting March 1, 2026.
Your tasks – plan, coordinate, process, document
You
• plan, coordinate, and administer training sessions and workshops (date, room, instructor, and expert planning) in close coordination with internal specialists,
• conduct written and telephone correspondence appropriately in German, French, and ideally Italian with interested persons, licensed examiners, instructors, internal specialists, and other stakeholders,
• process registrations, check submitted documents regarding formal admission criteria, decide on formal admission according to defined criteria, and communicate decisions factually and comprehensibly,
• maintain, update, and layout training concepts, materials, and documents according to the specifications of internal specialists and make them available to instructors and participants,
• support competence verification days on-site organizationally and serve as an administrative contact person,
• stock and administer the feedback tool, collect participant feedback, prepare it in a brief summary and evaluation, and provide it to internal specialists and instructors,
• create licenses and carefully manage their durations, including renewals and deadline monitoring,
• check incoming payments related to training sessions and review and approve instructors' expense and time reports,
• ensure structured filing, documentation, and updating of relevant data, documents, and processes,
• prepare statistical data, evaluations, and reports and provide the administrative basis for reports.

Your profile – structured, committed, and service-oriented
You work carefully and independently and keep an overview even with parallel tasks. You approach your work with enthusiasm, actively contribute, and enjoy reliably implementing and thoughtfully further developing administrative processes. A precise, punctual working style as well as a customer- and service-oriented attitude are natural for you. With your sense of responsibility and reliability, you make an important contribution to the quality of our work.
In addition, you have:
• a completed commercial apprenticeship or a comparable qualification,
• professional experience in an administrative role, preferably in the field of training, course or event organization, examination or continuing education offerings,
• very good, confident German and French skills in spoken and written form. Good Italian skills and other languages are an advantage,
• a precise, understandable, and target-group appropriate written expression,
• very good user knowledge of MS Office; experience with databases, administrative tools, or course management systems is an advantage,
• willingness to travel within Switzerland if needed and to a limited extent, especially in connection with competence verification days,
• team spirit as well as the ability to implement tasks independently, reliably, and autonomously – combined with initiative, service orientation, and a good sense for the concerns of participants, instructors, and internal specialists.
