Job Description
In this role, you provide secretarial support to the Head of Care and contribute to the smooth daily operation of the organization. You ensure the fluidity of administrative and operational activities by proactively managing the calendar and autonomously handling the mailbox, being proactive in processing, preparing strategic files, and ensuring the quality of internal and external communications. Your role allows management to focus on strategic tasks while you handle the coordination of practical and organizational aspects.
You are responsible for organizing and following up on high-level meetings, drafting confidential minutes, and managing correspondence. You also handle the administrative follow-up of the employee lifecycle, ensuring the reception and integration of staff. Your service orientation and rigor guarantee high-quality telephone and in-person reception, as expected in an executive secretariat.
As an interface between management and stakeholders, you maintain regular relations with managers, management committees, and strategic partners. You relay information clearly and precisely, participate in certain meetings, and help maintain smooth and effective communication within the management.
You organize business trips and participate in organizing large internal events by coordinating involved parties and ensuring budget compliance. You are also called upon to follow transversal projects, manage deadlines, and ensure administrative and financial follow-up, including processing expense reports and validating invoices.
Finally, you guarantee the confidentiality of sensitive and strategic information, particularly those related to human resources and management decisions. You know how to anticipate and manage unforeseen events with responsiveness, providing reliable and discreet support in all situations.
Qualifications
You hold a diploma or a commercial employee CFC or a higher administrative training such as a Federal Certificate of Assistant or Executive Assistant or an equivalent recognized title.
You have 3 to 5 years of experience in a similar position or in an executive secretariat.
You have excellent mastery of written and spoken French as well as very good computer skills.
You have excellent command of Microsoft 365 tools and communication tools.
You have strong writing skills and ease in interpersonal contacts.
You have a high sense of relational skills.
You are proactive and a source of proposals.
While having a good sense of organization and priorities, you are autonomous, rigorous, and precise in the tasks assigned to you and have a keen sense of confidentiality.
Additional Information
The workplace is within the operating rooms, which requires ensuring the sterility of the environment, for example:
Changing to wear the operating room attire every day and each time you enter and exit the operating rooms. A canteen is available with bread, cheese, and yogurts, but no hot meals are offered inside the operating room. It has several microwaves. Avoid too much jewelry or fake nails.
