To strengthen our COO team, we are looking for an Assistant COO for the system headquarters in Zurich starting immediately or by arrangement.
Your mission
You take on the administrative and organizational support of our COO – structured, proactive, and reliable. In doing so, you have his back, actively shape processes, and ensure that projects and processes are implemented efficiently.
What you achieve
- Independent correspondence on behalf of the COO: You handle written and oral communication for the COO – independently, discreetly, and with style, mostly in German, and if needed, also in English or French.
Planning and prioritizing operational topics: You prioritize activities from measures, project, and task plans in the interest of the COO, monitor their progress, and ensure deadlines are met.
Coordination of appointments and calendar management: You maintain and coordinate the COO's Outlook calendar, plan internal and external appointments, and ensure a structured daily routine – even with short-term changes.
- Preparation and follow-up of meetings: You organize meetings, workshops, and discussions with or for the COO, including agenda, documents, and minutes – from preparation to follow-up.
- Travel management and administrative support: You independently plan and book the COO's business trips, including transfers and accommodations. Additionally, you handle expense and credit card accounting and take on tasks in finance and HR as far as they concern the COO's office.
- Cross-departmental assistance and project coordination: You support the COO in collaboration with areas such as ADOK (training) and other central departments, coordinate project participants, and manage coordination with internal and external partners.

What defines you
- You have completed commercial training or a comparable qualification – ideally supplemented by further training in assistance or office management.
- You bring several years of professional experience in an assistant role – preferably at the C-level – and know the requirements and dynamics at the leadership level.
- You communicate at a high level in German, both written and spoken, have good English skills, and French skills are a valuable plus.
- You are proficient in MS Office – especially Outlook, Word, PowerPoint, and Excel – and work routinely and efficiently in digital work environments.
- Discretion is a matter of course for you.
- You present yourself reliably, service-oriented, and confidently – and bring the necessary calm and clarity to act effectively in a dynamic environment.
- You plan ahead, set clear priorities, and keep an overview even under time pressure – with a high standard of quality and reliability.
