What you will do here
- Assist the institute director in daily business: appointment coordination, answering emails, travel planning, billing, etc.
- Support the institute's management team: taking minutes, updating presentations, maintaining addresses in the CRM, etc.
- Handle concerns of institute employees: internal communication, onboarding new employees, organizing team events, managing circles, etc.
- Collect controlling information: prepare statistics and reports, update project overviews, aggregate evaluations in teaching, etc.
- Participate in event management: planning and announcements, on-site support at conferences and workshops, assistance at the welcome desk, etc.
What you ideally bring
- Completed commercial apprenticeship (EFZ) with further training as an executive assistant with a federal diploma or comparable background
- Several years of professional experience in a similar role (administration or university), experience in hospitality/gastronomy/event management is an advantage
- Organizational talent, customer- and service-oriented thinking and acting
- Very good knowledge and interest in digital tools (a lot of Excel), high willingness to learn new programs
- Very good German skills in spoken and written form, English is an advantage
- Stress resistance, quick comprehension, networked thinking, precise working method, initiative, high reliability and independence
