Head: Executive Support Services
In this newly created role as personal assistant, you, together with your team (1 colleague), ensure the professional and efficient support and relief of the entire executive management. You report directly to the Chairman of the Executive Board, who offers you the opportunity to further develop and structure the area in coordination with him.
Your exciting task
- Appointment, calendar, and email management for the superior of the executive management
- Taking precise and clear minutes and to-do lists as well as action tracking
- Structured filing and document management
- Creation of presentations, templates, and business documents for the entire executive management to ensure a consistent appearance externally and internally
- Organization as well as preparation and follow-up of meetings, workshops, events, and functions
- Support in projects and special tasks
- Building, leading, and developing the Shared Service Center (SSC) team
What you bring with you
- You have successfully completed your commercial basic training (EFZ) or equivalent and also bring a professional certificate as a marketing specialist or executive assistant, a higher business diploma, or comparable further education.
- Your backpack is already filled with at least 10 years of professional experience, with several years of experience in a similar role required. For building the team, it helps if you have already gained initial experience in a leadership role.
- You have a good understanding of processes in an SME and are eager to actively support the executive management in the company transformation with structured, smooth collaboration and consistently high quality of your work. This also includes solution-oriented action and quick decision-making in daily business.
- You use the MS Office 365 tools confidently and efficiently to handle and coordinate your tasks.
- Your forward-thinking and acting, recognizing the need for action including developing measures, as well as your high sense of responsibility help you set priorities and ensure that all tasks are completed on time and with high quality.
- You communicate confidently in German (spoken and written) and maintain a friendly and professional interaction with internal and external stakeholders.
- With your assertiveness, you manage to properly place your concerns and always keep an overview.
- Your resilience and flexibility help you in this role. Confidential handling of sensitive company and personnel data is a matter of course for you.
