Global Rewards Assistant
Position:
This position is responsible for providing administrative support to three Global Rewards Vice Presidents and their teams. Main duties include managing agendas (meetings, travel, expenses, appointments), preparing correspondence in English and French and organizing internal and external meetings, conferences, and events as required.
Responsibilities:
- Event Management: Independently organize events such as conferences, offsites, team buildings, and informal gatherings, from venue selection to supplier coordination, ensuring alignment with budget.
- Travel & Expenses: Support the Global Rewards VP, Western Europe HR VP, and Global Supply Chain & R&D HR VP with travel arrangements and timely expense report submissions.
- Concur Support: Act as a point of contact for HR teams using Concur, assisting with travel bookings and expense reports.
- MyShop Coordination: Manage purchase requisitions for Global Rewards and Western Europe HR, ensuring compliance and tracking orders through to payment.
- Administrative Support: Support onboarding/offboarding, manage office supplies, and coordinate team gestures such as gifts, cards, and flowers.
- Project Involvement: Assist with ad-hoc projects within the Global Rewards team.
Requirements:
- Commercial school diploma required; a university degree is a strong asset.
- At least 5 years of experience providing administrative support to management in a multinational environment.
- Fluent in English and French; additional languages are a plus.
- Proven ability to multitask, manage complex schedules, and deliver timely, high-quality administrative support. Strong sense of teamwork, organization, problem-solving, and interpersonal skills.
- Proficient in Microsoft Office (Word, Outlook, Excel, PowerPoint, Internet); knowledge of SAP is a plus.
