Executive Assistant
80 - 100%
This role is close to decisions, responsibility, and leadership. You work directly alongside the director and ensure that focus, priorities, and processes are correct. With overview, judgment, and independence, you have her back – and actively advance topics.
Your Role
- You are a sparring partner, pace-setter, and organizational hub for the director
- You filter information, set priorities, think ahead, and act independently
- You remain calm and keep an overview even in demanding situations
- You work closely with executives, committees, and external stakeholders and ensure that decision-making bases are well prepared and reliably maintained
Your Tasks
- Independent planning, management, and prioritization of the director’s agenda
- Preparation and follow-up of demanding appointments, meetings, and events
- Minute-taking and administrative support for the board and foundation
- Coordination and communication with management, presidencies, and external partners
- Structured filing, documentation, and maintenance of contracts and relevant documents, especially in connection with cooperation partners and tariff issues

- Quick comprehension, structured work, and high reliability – even under pressure

Your Profile
- Commercial training and several years of experience in a demanding assistant or trusted position
- Very good MS Office skills, especially Word, Excel, and PowerPoint
- Confident use of AI solutions for administrative topics
- Fluent, error-free German in spoken and written form (minute-taking is central)
- Experience in healthcare or complex organizations is an advantage
- Personal maturity, inner calm, and a clear, committed attitude
