What you can achieve
As a Senior Assistant, you proactively, anticipatively, and discreetly support the ICT management. You are a central hub for organization, coordination, communication, and administrative excellence.
- Proactive support of ICT management in administrative and organizational tasks
- End-to-end appointment and task management (meetings, travel, decisions, follow-up of action items)
- Preparation, minute-taking (or ensuring it), and follow-up of department meetings including action tracking
- Professional interface management within ICT as well as with internal stakeholders (Finance, HR, Procurement, etc.)
- Organization of internal events, workshops, team events, and relevant meetings including participant management
- Expense processes, account assignment and invoice processing, recording of external resources
- Support of department and team leaders in budgeting, quotations, service controlling (e.g., preparation of documents, scheduling, follow-up)
- Participation in or coordination of special assignments and smaller projects (e.g., introduction/improvement of administrative standards, events)
- Continuous optimization of administrative processes and templates (efficiency, quality, transparency)
What you bring
- Completed basic education (EFZ) or higher qualification (e.g., HF, FA, further training in assistance/office management)
- Several years of experience in a comparable role (Senior Assistant / Executive Assistant), ideally in a technology- or industry-oriented environment
- Very good understanding of business contexts as well as process-oriented thinking
- Confident handling of MS Office / M365 (Outlook, Teams, OneNote, SharePoint) and affinity for digital tools
- Very structured, reliable, and independent working style; you keep an overview even with parallel tasks
- Strong discretion, trustworthiness, and professional appearance
- Proactive, solution-oriented attitude (you see what is needed and implement it)
- Team-oriented personality with clear, friendly, and binding communication style
- High willingness to learn and initiative
