About the job
For the PhD Office of the University of St. Gallen, a leadership position (m/f/d) (80%) with management experience is sought from May 1, 2026, or by agreement.
The PhD Office is the contact point for prospective doctoral candidates and doctoral students at the University of St.Gallen. It supports doctoral students from admission to graduation in administrative matters. It also coordinates the various doctoral programs and is the contact point for the lecturers.

Your tasks
- Strategic, operational and content leadership as well as personnel management of the three-person PhD Office team, in particular the active further development of the team
- Representation of the group in the management bodies of the Vice-Rectorate for Studies & Teaching
- Design, planning and implementation of strategic projects for the further development of the PhD Office and doctoral structures (e.g. digitalization of processes)
- Analysis and optimization of existing administrative processes to increase efficiency
- Management of all administrative steps of the doctoral studies, from admission to graduation
- Maintenance and updating of statistics and reports
Your profile
- Higher vocational training/technical school/university degree
- Experience in leading a team as well as administrative collaboration if needed (deputizing the team during their absence)
- Knowledge of university administration, ideally in the area of doctoral studies or study administration
- Excellent administrative and organizational skills as well as a structured and precise way of working
- High service and communication competence, orally and in writing, in German and English
- Professional experience: 10 years
- Special expertise: experience in innovation processes and methods
- Proactive, solution-oriented and resilient personality with pronounced teamwork skills
